About The Position

The Mail Services Assistant ensures all mail is distributed to Main Office and Navarro Buildings. This role involves learning the basics of mail processing, applicable laws, and how to use permit numbers and fill out required 3602s for mailings. Additionally, the position includes learning the basics of digital printing, specifically on Xerox 3100 and Xerox 9070 machines.

Requirements

  • Proficient in Microsoft Office Package, including word processing, spreadsheets, database, presentation software, electronic mail, and scheduling.
  • Ability to read, write, and comprehend information.
  • Possess a valid driver’s license with a history of a safe driving record in accordance with CPSE policies, procedures, safety standards, and applicable laws and regulations.
  • Ability to understand the mail process.

Responsibilities

  • Assist Senior Mail Operators on daily tasks and learn daily routes.
  • Ensure delivery of all mail from the downtown Post Office for disbursement to all respective mail drops.
  • Perform rough and fine sort of all mail, understanding the mail drop system and their meanings.
  • Accept expedited deliveries (FedEx, UPS, etc.), record them, and obtain signatures.
  • Assess packages that could be detrimental to company safety and act accordingly.
  • Address issues from incoming calls regarding concerns or special needs.
  • Monitor supplies needed for metering ink, strips, and print heads.
  • Place service calls as needed for meter machines, inerter, folder, and tracking devices.
  • Process all mail using a high-speed digital metering system, ensuring maximum discounts.
  • Work with internal customers for planned and unplanned mailings, providing quotes for postage and handling processes.
  • Ensure Presort Services are picked up daily and the United States Postal Service report is accurately completed and submitted.
  • Make necessary changes to mail drops for customers moving or relocating.
  • Ensure over 195 mail destinations throughout all locations are delivered twice daily.
  • Fold, cut, and insert Privacy, Installation, Installments, and Final Notices letters for external customers.
  • Receive and prioritize Board Packets for delivery.
  • Perform safety protocols using the Smith Detection X-ray machine as needed.
  • Understand the Business Center operations and ensure they are properly stocked.
  • Coordinate toner and other supply stocking and replacement on any floor or location.
  • Manage Cherwell to ensure all Business Center ticketing system tasks are completed.
  • Generate reports as needed.
  • Perform other duties as assigned.
