About The Position

This job involves managing mail operations and printing/production operations. Responsibilities include picking up mail from the post office, sorting and distributing mail, processing outgoing mail, and tracking packages. It also includes operating high-volume digital copy machines, printers, and multi-function print shop systems, as well as performing finishing services like cutting, folding, and binding documents. The role also requires managing inventory of supplies, performing basic maintenance on equipment, and providing customer service for shipping and printing needs. This is a non-exempt, At-Will employment position.

Requirements

  • High school diploma or GED
  • Two (2) years related experience involving mail room / printshop operations.
  • Ability to stand for long periods, walk delivery routes, and lift heavy items (frequently up to 50-70 pounds of paper stock or packages).
  • The incumbent is frequently required to stand; and stoop, kneel, crouch, and bend.
  • The incumbent is occasionally required to sit.
  • Possesses the ability to give and receive information through speaking and listening skills.
  • Strong attention to detail
  • Time management to meet strict carrier pickup cutoffs
  • Reliable communication skills.
  • A valid driver’s license is required for internal, external mail delivery routes.
  • Basic computer skills
  • Familiarity with office software (Microsoft Office or Google Suite), Excel, and digital print/mail tracking software.

Responsibilities

  • Picks up mail from the main post office.
  • Receives, sorts, and routes incoming mail, packages, and interoffice memos to the correct departments or individuals.
  • Weighs letters and parcels, calculates correct postage, and operates automated postage metering or folding machines.
  • Maintains logs for certified, registered, or tracked packages using internal tracking systems or carrier portals (UPS, USPS, FedEx).
  • Collects and delivers mail across corporate, campus, or municipal facilities, sometimes operating an organization vehicle.
  • Operates large-volume digital copy machines, high-speed printers, and multi-function print shop systems.
  • Cuts, folds, collates, staples, hole-punches, or binds printed documents according to job work orders.
  • Loads paper stock into large printers, moves reams of paper, and stocks inventory in storage or print shop areas.
  • Performs basic cleaning and routine maintenance on mail meters, inserters, industrial copiers/printers, scanners, binding machines and printing hardware; clears paper jams safely.
  • Monitors and restocks office and mailroom supplies like envelopes, labels, ink, and paper reams.
  • Assists staff or walk-up clients with shipping options, postage rates, or print job requests.
  • Performs other duties as assigned.
