About The Position

This role provides administrative support to the Lodging Maintenance Team and Lodging Team. With guidance from the Chief Engineer, Maintenance Team, and Lodging Management, this individual will administer the work order management system, financial tracking (including labor, Capex, payroll), vendor/contractor coordination, purchase order requisitions in Microsoft D365, inter-departmental coordination, and special projects and tasks as necessary. Applicants must be 21 years of age. The base hourly pay range is $20.50 - $28.69 per hour.

Requirements

  • Knowledge of accounting, data, and administrative management practices and procedures.
  • Proficiency in Outlook, Excel, Word, Project, and PowerPoint.
  • Computerized Maintenance Management Software required.
  • Clerical, administrative, and secretarial skills including clear communication, excellent time management, and multi-tasking.
  • Ability to apply common sense understanding to carry out detailed written or oral instructions.
  • Strong sense of customer service.
  • Able to understand and follow verbal and written instructions.
  • Neat & clean appearance in compliance with company grooming standards.
  • Punctual, able to report at scheduled start times.
  • Flexibility in seasonal work schedules.
  • Ability to integrate into a high-performing team.
  • High School Diploma or GED.
  • 12 months prior experience in a customer/service office environment; or equivalent combination of education and experience.

Nice To Haves

  • 24-36 months prior experience.
  • Bachelor degree.
  • Experience in the ski resort and/or maintenance/construction industry.
  • Experience with computerized office and fast-paced business environments.

Responsibilities

  • Responsible for the overall direction, coordination, and utilization of the computerized work order management system for Lodging Maintenance.
  • Allocate available resources to enable successful task performance across multiple departments.
  • Responsible for financial tracking: payroll, purchase order requisitions, vendor invoicing, assist in annual budgeting process (CapEx & OpEx), soliciting vendor bids, and weekly/monthly reporting.
  • Liaise with internal business departments to coordinate daily work orders and service requests between departmental staff, external contractors, and internal business partners.
  • Determine work priorities, prepare work schedules, and expedite workflow with direction from the Chief Engineer and Department Heads.
  • Develop, monitor, and reconcile department budget, P&L forecasts, capital project tracking, and invoice processing with accounting departments.
  • Assist with sustainability initiatives, including budgeting and implementation.
  • Source and purchase department supplies when necessary and assist in creating and reconciling purchase orders.
  • Coordinate meetings: intercompany, vendors, and local agencies for Department Heads.
  • Assist with hiring of new staff when applicable in coordination with Human Resources and Payroll.
  • Perform general administrative duties including: composing and responding to emails, answering phones, responding to voicemails, filing, and computer software.
  • Engage with company and community stakeholders in a positive and productive manner.
  • Respond to customer and management complaints.
  • Coordinate internal appointments, training, and bookings, including scheduling of outside contractors.
