About The Position

JLL is looking for a Leasing Coordinator to support its Quebec Retail leasing team. Based in Montreal, the incumbent will be responsible for providing support to the leasing team in their daily activities and strategic projects. This role involves creating and maintaining detailed real estate documents, managing lease applications, calculating commission income, and supporting the invoicing and approval process for lease agreements. The position also requires the creation of rental assumptions, development of marketing materials, and maintenance of internal and client databases. Additionally, the role provides administrative support for invoicing, mailing, document entry, and meeting organization.

Requirements

  • Bilingualism in both French and English, oral and written.
  • University degree in business administration or equivalent AND/OR equivalent experience in retail.
  • At least two to three years of experience in commercial real estate, ideally in connection with the leasing of commercial spaces.
  • Strong ability to manage multiple projects and schedules.
  • Excellent follow-up and great attention to detail.
  • Proficiency in Microsoft Office Suite and proficiency in Excel required.
  • Strong writing, editing and organizational skills.
  • High motivation, and willingness to take initiative and work independently.
  • Strong interpersonal skills and ability to work collaboratively with teammates and clients.
  • Demonstrate creativity and skill in developing effective solutions and ability to complete projects on time.
  • Ability to prioritize projects to meet different deadlines.

Responsibilities

  • Create and maintain detailed real estate documents requiring high levels of accuracy, including client reports, lease proposals, letters of intent, external broker agreements, leasing analysis, and other required reports.
  • Review lease applications, calculate commission income, manage workflow, and oversee the approval and invoicing process for lease agreements and revenue forecasting.
  • Create and update rental assumptions through monthly calls with the client.
  • Create color rental plans for sales, expiration, appendices, and proposals.
  • Produce reports on the status of leases and participate in the production of client presentations and proposals, ranging from standard form presentations to larger, more intensive proposals.
  • Develop and distribute marketing materials, such as market overviews, brochures, postcards, presentations, reports and proposals.
  • Maintain internal databases, customer and lead databases.
  • Provide administrative support for invoicing, mailing, document entry and editing, organization of meetings and calendars, etc.
  • Interact orally and/or in writing with tenants, tourists or external partners based outside Quebec (e.g., service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, credit agencies, non-French-speaking clients, etc.).
