Overview We are looking for a proactive, organized, and detail-oriented candidate for the Leisure Sales Coordinator position, responsible for assisting the Leisure Sales team in maintaining a structured workflow for processes, project support needs, and deliverable coordination.  This position acts as the primary liaison between Leisure Sales and other internal departments, ensuring effective communication and the timely delivery of assets, with a strong focus on attention to detail.

Requirements

  • Bachelor’s in business administration or relevant field;
  • 2 or more years of experience in supporting a multi-divisional
  • 3 or more years of experience in project management, handling multiple projects of different scope/complexity
  • Strong writing skills; Excellent listening skills
  • Strong interpersonal and customer service skills;
  • Outstanding attention to detail;
  • Flexibility and adaptability to juggle a range of different tasks;
  • Exceptional organizational and time management skills;
  • Knowledge of office management systems and procedures;
  • Technologically Efficient, MS Office Proficient (including Excel, PowerPoint, Teams, Zoom)
  • Fully Bilingual with strong oral and written communication (English/Spanish);
  • Knowledge of the Puerto Rico market, cultural and language nuances.
  • Able to learn about our main stakeholders and the protocols to reach out to them, being mindful of the communication channels.

Responsibilities

  • Responsible for coordinating meetings, handling special client requests, VIP arrangements, administrative duties, inter-departmental deliverables, and assisting in the field as deemed necessary.
  • Manage Sales reports in Simple View and other platforms and handle any ad-hoc requests from supervisors or team members, on a timely basis.
  • Proactively keeps communication with the division stakeholders to ensure all information and requests are aligned with the expectations.
  • Manages registration and deliverables for all small to medium in-person and virtual events (as assigned), including registrations, shipping, banners, lead retrieval, uniforms, gathering presentations, and other assets.
  • Organize and attend meetings and tradeshows when required, ensuring the team is prepared and assists with presentations.
  • Assists with keeping the organization’s tradeshow and activities calendar updated in Smart Sheets.
  • Keeps track of and follows up on deliverables for all Co-op agreements, including processing invoices and following up with timely payments
  • Produces, updates, reviews, and proofreads PowerPoint presentations, ensuring our established branding guidelines 100% compliance before final approval.
  • Execute production, delivery, and maintenance of sales collateral and other promotional shipments for roadshows, tradeshows, and meetings.
  • Efficiently manage external agents and other stakeholders’ requests and direct calls and inquiries to the appropriate internal contact.
  • Prepare and review required forms, calendars, and invoices, and submit them in a timely manner to the appropriate contact for approval and processing.
  • Effectively maintains the Leisure Sales file systems, both electronic and paper, including databases and binders.
  • Participates in the division’s in-person or virtual staff meetings, as required.
  • Other related in-office tasks as specified by the supervisor.
