About The Position

Legal Secretaries provide clerical support in a legal department, court, or district attorney office to include processing mail, maintaining files, transcribing minutes, and gathering pertinent documentation. Employees in this job assist in the preparation and proceeding of court cases by organizing and maintaining documentation and administering oaths. Legal Secretaries work primarily in an office or courtroom setting and their work is overseen and reviewed by the attorneys to whom they are assigned. Legal Secretaries do not have any supervisory responsibilities.

Requirements

  • Work experience researching information and materials in order to complete work and/or projects (e.g. internet, databases, library, file systems).
  • Work experience performing clerical work to include drafting and typing letters and memos using legal terminology, proofing documents, answering telephones, and handling public questions and comments.

Responsibilities

  • Prepares cases for court by organizing, serving, filing, producing, drafting, editing, and maintaining documentation and legal paperwork to have information accessible for presentation by relevant parties (e.g., court, clients, attorneys).
  • Performs various administrative activities by creating and updating files, maintaining documents, and tracking information using various forms and computer systems in order to maintain records and document department/organization activities.
  • Serves as a liaison to various stakeholders by coordinating with various parties (e.g., attorneys, representatives of opposing parties, witnesses, city departments, jurors, judges) to communicate information and activity related to case development and trial proceedings.
  • Assists the judge with the administration of courtroom procedures by recording rulings, managing physical and electronic copies of case information, and providing information to during proceedings to ensure that applicable laws, rulings, and procedures are followed.
  • Assists with organizing and managing jurors during jury selection, hearings, and trial proceedings to help ensure the courts operate as expected.
