About The Position

The current vacancy is within the Shasta County Department of County Counsel. This is a Confidential classification, meaning a non-management employee who, in the course of their duties, is regularly privy to management planning or decision making regarding the County’s administration of employer-employee relations as determined by the Board of Supervisors. The County Counsel provides civil legal services for the County, representing the County and its officers and employees in civil actions. The office drafts or reviews legislation, contracts, leases, deeds, ordinances, and resolutions. It also provides statutory interpretation and legal opinions, and identifies and explains legal trends to assist in program planning. The Legal Secretary I/II-Confidential performs complex legal secretarial and clerical duties in support of attorneys, involving public interest and contact with other public agencies.

Requirements

  • Any combination of education and experience sufficient to directly demonstrate possession and application of the following knowledge and abilities.
  • Knowledge of office practices and procedures.
  • Knowledge of style/format of business correspondence, punctuation, spelling, and general English usage.
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of filing and recordkeeping methods.
  • Knowledge of modern office equipment.
  • Ability to perform legal secretarial and clerical duties.
  • Ability to learn civil, criminal, juvenile, domestic, probate, family, and other statutes governing the County Counsel’s Office (Legal Secretary I).
  • Ability to learn the operations and procedures of the County Counsel’s Office (Legal Secretary I).
  • Ability to learn the legal terminology, forms and formatting used in the County Counsel’s Office (Legal Secretary I).
  • Ability to organize work effectively to meet critical administrative deadlines.
  • Ability to determine office priorities.
  • Ability to meet deadlines and respond to office emergencies.
  • Ability to interpret and apply specific policies and procedures.
  • Ability to compose correspondence.
  • Ability to establish and maintain cooperative working relationships with those contacted in the course of work.
  • Knowledge of civil, criminal, juvenile, domestic, probate, family, and other statutes governing the District Attorney, Public Defender and Health and Human Services Agency (Legal Secretary II).
  • Knowledge of the operations and procedures of the District Attorney, Public Defender and Health and Human Services Agency (Legal Secretary II).
  • Knowledge of legal terminology, forms and formatting used in the District Attorney, Public Defender and Health and Human Services Agency (Legal Secretary II).
  • Ability to perform complex legal secretarial and clerical duties (Legal Secretary II).
  • Ability to compose correspondence independently (Legal Secretary II).
  • Ability to act as a lead worker and provide direction, training and feedback to other clerical staff (Legal Secretary II).
  • One (1) year of clerical experience preparing a wide variety of legal documents.
  • OR Three (3) years of responsible clerical experience in an office environment (Legal Secretary I Minimum Qualifications).
  • Two (2) years of full-time experience comparable to that of Legal Secretary I - Confidential with Shasta County (Legal Secretary II Minimum Qualifications).

Responsibilities

  • Perform complex legal secretarial and clerical duties in support of attorneys which involve active and extensive public interests and contact with other public agencies.
  • Compose routine memoranda, contracts, resolutions, ordinances and letters.
  • Maintain Law Library.
  • Prepare legal forms necessary for filing cases before court, including briefs, motions and orders, warrants, citations, complaints, subpoenas, petitions and resolutions.
  • Answer correspondence.
  • Maintain calendar and schedule appointments for attorneys.
  • Answer the telephone and interview callers, exercising considerable judgment in giving out information and referring to the proper person.
  • Make travel arrangements.
  • Install and maintain filing systems.
  • Open, sort and distribute mail.
  • Operate a variety of modern office appliances.
  • Prepare conference rooms for meetings.
  • May be called to court to assist attorneys in trial.
  • May be called to assist in secretarial and/or clerical positions within the office.
  • Perform other legal secretarial and clerical duties as assigned.
  • May perform routine administrative duties.
  • May act as lead worker and provide direction, training and support to other clerical staff (Legal Secretary II).
  • Prepare a variety of bills and invoices (Legal Secretary II).
  • Order office supplies as necessary (Legal Secretary II).
