About The Position

The Legal Operations Specialist provides legal and administrative support to the Company’s Legal Department, helping ensure the delivery of timely, accurate, and business-focused legal services. This role supports a broad range of legal matters, including contract administration, employment and labor matters, litigation support, compliance activities, and legal operations. The Legal Operations Specialist partners closely with internal stakeholders and outside counsel, serving as a key resource for legal intake, document management, matter tracking, and process coordination. Through strong organization, attention to detail, and effective communication, this position helps drive efficiency, consistency, and operational excellence across the Legal Department.

Requirements

  • Three (3) to five (5) years of experience supporting legal operations, contract administration, legal services, compliance, records management, or related functions in a law firm or corporate legal department.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and SharePoint, with the ability to organize and maintain legal records and documentation.
  • Strong organizational, project management, and communication skills, with the ability to manage multiple priorities, maintain confidentiality, and meet deadlines in a fast-paced environment.
  • Strong knowledge of legal terminology, legal documentation, records management, and administrative legal processes.
  • Ability to handle highly sensitive and confidential information with discretion, professionalism, and sound judgment.
  • Excellent written and verbal communication skills, with the ability to effectively interact with employees, management, outside counsel, and business partners.
  • Strong organizational, time-management, and project coordination skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to work independently, exercise sound judgment, solve problems proactively, and maintain a high level of accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), SharePoint, and document management systems.

Nice To Haves

  • Associate's or Bachelor's degree in Paralegal Studies, Legal Studies, Business Administration, or a related field preferred.
  • Paralegal certificate from an ABA-approved or accredited program is a plus.
  • Experience administering contract management, document management, legal intake, SharePoint, or other legal operations systems preferred.
  • Experience with contract management, legal intake, matter management, e-billing, or other legal operations software platforms preferred.
  • Knowledge of records retention, document control, and legal department best practices preferred.
  • Bilingual English/Spanish language skills are a plus.
  • Notary Public designation preferred.

Responsibilities

  • Support all stages of the contract lifecycle, including contract intake, execution tracking, renewals, amendments, and termination activities.
  • Maintain centralized contract repositories to ensure accurate recordkeeping and document accessibility.
  • Coordinate with internal stakeholders to obtain required approvals, documentation, and insurance certificates.
  • Monitor contract deadlines and key dates to support compliance and timely business action.
  • Coordinate with outside counsel and internal business partners to support litigation, claims, investigations, and employment-related matters.
  • Gather, organize, and maintain documents and records in response to litigation, subpoenas, audits, and information requests.
  • Track case activity, deadlines, and document retention requirements to ensure timely responses and compliance.
  • Assist with legal holds and records management activities as needed.
  • Manage the Legal Affairs Service Desk and legal intake process, including receiving, tracking, prioritizing, and routing requests to appropriate resources for timely resolution.
  • Administer the Legal Department SharePoint site and other legal systems, ensuring content is organized, maintained, and accessible in accordance with record retention requirements.
  • Draft, edit, format, and proofread legal documents, agreements, policies, presentations, reports, and correspondence for accuracy, consistency, and professionalism.
  • Maintain legal records, templates, and departmental documentation to support operational efficiency.
  • Provide general administrative and project support to the Legal Department, including coordinating meetings, tracking assignments, and supporting departmental initiatives.
