About The Position

The Case Coordinator is the gatekeeper ensuring the delivery of excellent legal services to external clients while supporting attorneys. The Case Coordinator, therefore, serves the dual role of case management and administrative support. They are required to exercise decisive and independent judgment, while also working closely with the attorneys to be sure case and law firm objectives are clearly defined and met. It is important this person possess strong organization, leadership and prioritization skills.

Requirements

  • Bachelor’s degree required plus minimum 2 years paralegal experience with Certificate in Paralegal Studies or 1-year relevant experience under a licensed attorney.
  • At least 2 years of family law litigation experience
  • Proficiency in Microsoft Office Suite, Adobe Acrobat/Sign, Clio, digital and traditional research tools
  • Ability to exercise discretion and independent judgment
  • Technology savvy - able to use various software to support efficient working processes
  • Polished, personable, mature, and hard-working
  • Strong work ethic, with proactive attitude
  • Excellent organizational, prioritization and multi-tasking skills
  • Superior verbal and written communicator

Responsibilities

  • Coordinate staff in meeting case goals and objectives.
  • Update and track case checklists/tasks.
  • Assist attorneys in preparing for hearings, depositions, mediations, and trials.
  • Manage case files and associated documents.
  • Prepare for trial, including supervision of courtroom technology.
  • Conduct research, gather and summarize information relevant to a case.
  • Document various types of data in an organized manner and keep up with databases and other technological applications needed to manage legal cases.
  • Review and analyze deposition, hearing, and trial transcripts.
  • Use Clio Tasks to ensure all parts of the case are assigned.
  • Draft various legal documents including pleadings, deposition notices and discovery including draft interrogatories, request for production of documents and subpoenas.
  • Analyze and calculate deadlines for discovery, hearing deadlines, and calendar using firm systems to ensure deadlines are observed.
  • Support attorneys with accurate information and resources.
  • Ensure client satisfaction and positive working relationships.
  • Respond to or forward clients' inquiries promptly.
  • Establish effective working relationships with clients.
  • Notify clients of important dates and updates.
  • Manage attorney calendars for effective time management.
  • Plan and calendar depositions, conference calls, meetings, court proceedings, and travel.
  • Process and oversee third-party and vendor case-related invoices and check requests.
  • Coordinate and organize meetings.
  • Schedule couriers, court reporters, videographers, and expert witnesses.
  • File and serve pleadings; serve discovery.
  • File documents with any applicable court systems.
  • Organize, update, and maintain case files (both hard copies and electronic).
  • Ensure case opening tasks are completed.
  • Perform a variety of administrative tasks including filing paperwork, answering phones and sending emails.
  • Hourly billing minimum applies.
