About The Position

Harris Beach Murtha is seeking a Legal Administrative Assistant to join our New York, NY office. This talented individual will be responsible for assisting attorneys in our Mass Torts and Industry-Wide Litigation practice group. The role involves administrative tasks, client interaction, and supporting attorneys with document production in a fast-paced legal environment.

Requirements

  • Exceptional oral and written communication, including excellent spelling, grammar, punctuation, form, and style
  • Proficiency with MS Office, including Word, Excel, PowerPoint, with expertise in creating TOCs, TOAs and applying styles
  • Excellent multitasking and time management abilities
  • Superior client service and listening skills for anticipating needs of clients and attorneys
  • Exhibit the ability to effectively multi-task, meet deadlines, and provide solutions in a fast-paced office setting
  • Demonstrate good organizational skills for prioritizing workload

  • Enjoy working with diverse personalities within various levels of the firm
  • Are comfortable working fully onsite during training and the opportunity to work a hybrid schedule once training is complete

Responsibilities

  • Type from draft or transcribe a variety of correspondence, memoranda and legal forms such as billing letters, retainers, briefs, contracts, etc.
  • Ensure documents are appropriately drafted, written, reviewed, edited, proofed, finalized, signed, assembled, distributed, and filed for effective and efficient retrieval
  • Respond to a high volume of phone calls, transmit messages accurately and promptly
  • Keep accurate and up-to-date case information, contacts and files, including billing records
  • Coordinate travel arrangements, securing air, hotel and car plans for attorneys and clients
  • Coordinate meetings and appointments for attorneys and clients including conference room scheduling, meals and preparation of meeting materials
  • Utilize new matter business intake program to open new files
  • Process check requests, vendor invoices, and expense reimbursements
  • Process incoming and outgoing mail
  • Handle document scanning, profiling and retrieval
  • Perform other related duties as assigned or requested
