About The Position

Koley Jessen is seeking a reliable and driven Legal Administrative Assistant to work closely with attorneys and paralegals to provide exceptional service and achieve the best results for clients. The firm fosters a collaborative culture that drives problem-solving with imagination and determination. This role is vital to legal matters, partnering with Attorneys and Paralegals to provide client solutions, creating learning opportunities and increasing engagement. The Legal Administrative Assistant will also be a member of the Legal Administrative Assistant team, collaborating with peers on projects as needed. The ideal candidate can multitask in a fast-paced environment, is proficient in Microsoft Office and relevant technology, and actively seeks to improve skills through learning and training. Effective verbal and written communication skills, adaptability in communication style, eagerness to learn, high engagement, and critical thinking are essential.

Nice To Haves

  • Two (2) years of legal assistant or administrative assistant experience.
  • Proven proficiency with Microsoft Office and other computer/software technologies.

Responsibilities

  • Perform administrative tasks including time entry, expense reports, check requests for USCIS filings, printing, calendaring, scanning, mailings, maintaining and organizing electronic files, coordinating travel arrangements, and collaborating with the accounting team to pay invoices for ancillary support services.
  • Handle legal-specific tasks such as dictation/transcription, document revisions, document conversions, redlining, and docketing.
  • Undertake higher-level tasks including document drafting, assisting with closings, preparing virtual closing books, court filings, scheduling hearings, monitoring USCIS guidelines for petition-specific mailing addresses and filing fees, obtaining records from U.S. Customs & Border Protection, managing ShareFile and DocuSign for client file requests and document signatures, and ordering/coordinating translations and academic evaluations of client documents.
