About The Position

McMillan has an exciting opportunity as a Legal Administrative Assistant in our Toronto Regulatory Group. As a member of the team, you will play a key role in managing the legal and administrative aspects of the practices of a team of successful legal professionals. This position is being posted to fill an existing vacancy. This role offers a hybrid workweek, combining working at home for a few days and working in the Toronto office for the balance.

Requirements

  • A Legal Assistant or Office Administration Diploma with a minimum of five to seven years of administrative experience supporting multiple senior-level legal professionals
  • Strong administrative, organizational, and interpersonal skills
  • High attention to detail and ability to meet deadlines
  • Comfortable working in a fast-paced environment and managing a high-volume workload
  • Commitment to delivering exceptional client service
  • Eagerness to expand knowledge and adopt new technologies
  • Strong proficiency in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat Pro
  • Prior experience with iManage, Intapp, and 3E or similar document management, file opening, and accounting software required

Nice To Haves

  • Experience in marketing and design, and social media platforms, are also an asset

Responsibilities

  • Act as the go-to person for your team, providing guidance and organizational support
  • Prepare documents and draft correspondence
  • Organize and maintain documents within the document management system
  • Open new client matters and manage related administrative processes
  • Assist with file closing and archiving in accordance with firm policies
  • Support billing activities, including preparation of accounts and docket review
  • Support and coordinate department client events
  • Manage calendars and coordinate meetings
  • Maintain and update client contact information
  • Assist with tracking business development activities
  • Prepare marketing materials and presentations
  • Coordinate travel arrangements and conference registrations
  • Leverage technology to support legal professionals and clients efficiently and effectively
