About The Position

The Leasing and Administrative Assistant (LLA) works directly with the housing services program managers and clients, and is responsible for implementing the administrative systems, procedures, and policies developed by the Housing Services program managers. The LLA performs a wide variety of duties associated with the rental leasing and with general office administration as well as ensuring documentation is gathered to meet funding grant obligations. This is a busy position that allows the employee to make a true difference in the quality of life for many individuals.

Requirements

  • High School Diploma or equivalent
  • Minimum of 2 years property management, social services, or customer service experience
  • Ability to multi-task and maintain a high level of detail orientation
  • Skilled with computer programs
  • Able to think logically and analytically
  • Use effective problem solving skills
  • Have a high level of customer service skills

Responsibilities

  • Posting rent payments
  • Preparing bank deposits
  • Editing payment information
  • Processing maintenance requests
  • Updating tenant information
  • Assisting Property Manager with tenant file organization including follow-up and compliance documentation necessary for file review
  • Preparing standard program communications, including notifications of renewals, late-rent letters and other correspondence as required
  • Scheduling client appointments
  • Taking applications
  • Signing leases and other documents
  • Maintaining annual calendar to ensure all reports and other business filing deadlines are met
  • Organizing and maintaining electronic and paper company files
  • Maintaining contractor files that document insurance, compliance, Federal ID and other construction-related requirements
  • Processing invoices, payments and managing online bank as directed
  • Assisting with audits
  • Tracking maintenance timesheets
  • Preparing environmental review reports
  • Preparing compliance reports
  • Tracking project development submission deadlines
