About The Position

The Learning Operations & Systems Specialist strategically manages the clinical education ecosystem. This role is responsible for the lifecycle management of education technology, financial workflows, and program architecture. This role requires strong analytical skills, project management experience, and the ability to navigate complex enterprise systems (SAP, Cvent, Workfront). They serve as a critical bridge between clinical content and operational excellence, ensuring scalable, high-quality learning experiences.

Requirements

  • Bachelor’s degree in business administration, education technology, communications, or a related field or equivalent combination of education & experience
  • 3+ years’ experience in supporting clinical education, healthcare, training programs or relevant work experience
  • 3+ years of experience managing Cvent (beyond registration) or major LMS
  • Experience managing a procure-to-pay process or working within an ERP system like SAP
  • Must reside within a commutable distance to Thousand Oaks, CA. This is not a hybrid or remote opportunity
  • Requires ability to travel up to 10% for onsite support in education and training events
  • Solid knowledge of Microsoft Word, Excel and Outlook.
  • Ability to deal professionally and sensitively with a diverse audience and a wide range of contacts on different levels.
  • Ability to keep matters of business discrete and confidential.
  • Must present a professional image, maintain a positive outlook, be a self-starter, take initiative, be dependable and take pride in work product.

Responsibilities

  • Own end-to-end event execution within Cvent, including building events from scratch, configuring registration paths, managing event websites, and executing both in-person and virtual programs.
  • Serve as the internal Cvent subject matter expert (SME), navigating complex system configurations, dependencies, and webinar integrations to ensure seamless event delivery.
  • Own platform and registration set-up for newly requested events.
  • Manage technical production and system integration.
  • Administer learning management systems (LMS), supporting course setup, learner access, and troubleshooting.
  • Develop new virtual course content, working with the education team to obtain materials from KOLs/partners and develop learning modules.
  • Manage invoice processing and financial workflows across SAP and iBuy, including high-volume invoice tracking, accrual management, and payment issue resolution.
  • Partner with Accounts Payable and Procurement to resolve discrepancies, unblock invoices, and ensure timely vendor payments.
  • Oversee vendor setup and maintenance process, ensuring accurate system records.
  • Coordinate contract workflows end-to-end, including submission, routing, status tracking, and communication with internal stakeholders and Legal to resolve issues and drive timely execution.
  • Oversee program readiness and compliance architecture, including event intake, stakeholder management and data integrity, marketing submission workflows, and compliance documentation collection (e.g., dental licenses, malpractice insurance).
  • Manage marketing asset workflow process in Workfront & Showpad, ensuring accurate and timely access for internal teams.
  • Execute post-course processes, including CE credit management and submission of participant data to AGD PACE.
  • Identify and implement process improvements across event operations, financial workflows, and customer experience.
  • Deliver high-touch customer support to doctors, attendees, and internal teams, including registration and CE certificate troubleshooting, managing the education inbox, and resolving participant inquiries.
  • Provide real-time support to sales representatives on program logistics, registration, and course details.
  • Attend Implant Direct education core curriculum courses as needed to act as on-site support for doctors, including managing the hands-on portion of the course.
  • Prepare, distribute, and clean up the ‘hands on’ portion of the course to facilitate the doctor’s learning.
  • Oversee onsite facility logistics, including catering coordination and audio-visual quality assurance.
  • Validate attendance data and manage accreditation integrity for CE compliance.
  • Provide customers with precise Education offering information and sell appropriate promotions at the course.
  • Ensure product for hands on courses is returned to Implant Direct headquarters in Thousand Oaks and checked in appropriately.
  • For courses in Las Vegas, ensure that product is properly cleaned and returned to storage for use at the next course.
