About The Position

The Learning Operations Specialist plays a critical role in enabling the successful delivery of learning and development programs by ensuring seamless operations, efficient systems, and high-quality learner experiences. This role owns the day-to-day administration of the Learning Management System (LMS), leads program logistics, and drives continuous improvement across learning processes. Acting as a key operational partner to the broader L&D team, the Learning Operations Specialist optimizes workflows and supports cross-functional collaboration to ensure learning programs are delivered effectively, efficiently, and at scale. Requirements

  • 3+ years in learning operations, HR operations, L&D program management, or a related field.
  • Strong experience administering LMS platforms and learning technologies.
  • Solid understanding of scheduling, logistics, and vendor management.
  • Experience identifying process improvements and implementing automation solutions.
  • Strong organizational, project management, and communication skills.
  • Exceptional customer service and relationship-building skills
  • Excellent computer skills with a high level of proficiency in Microsoft Office.
  • Ingenuity and initiative required to collect information, coordinate activities with others, and resolve routine and/or factual problems.
  • Thrives in a fast-paced, high-growth environment with evolving priorities and ambiguity.
  • Able to effectively navigate complex, ever-changing environments while collaborating across different time zones and cultures.

Responsibilities

  • Own day-to-day administration of the LMS, including user access, group management, enrollments, reporting, and troubleshooting.
  • Manage eLearning course uploads, shell creation, enrollments, tracking, and intelligent agents, ensuring employee access and accurate content maintenance within the LMS.
  • Maintain an accurate and up-to-date workshop calendar, including event details, scheduling information, and registration links.
  • Develop and maintain dashboards and reports to provide visibility into program performance.
  • Track and analyze participation, completion, and engagement metrics to support data-driven decision-making.
  • Lead end-to-end coordination of training logistics, including scheduling, room bookings, materials, facilitator support, and technology setup.
  • Own the operations of the learning meeting platform (GoToTraining) ensuring sessions are uploaded, breakout rooms and groups created, materials are embedded, and dry runs with facilitators are complete prior to sessions.
  • Moderate learning sessions to ensure a seamless and exceptional participant experience.
  • Manage registrations, completions, and certification tracking with a high level of accuracy.
  • Identify and implement opportunities to streamline and automate learning operations workflows.
  • Develop, document, and maintain standard operating procedures (SOPs) to ensure consistency and scalability.
  • Continuously improve systems and processes to enhance the learner and stakeholder experience.
  • Own and maintain the learning calendar, including workshops and events across the team, to ensure seamless coordination and consistent delivery of learning services across the business.
  • Partner closely with L&D team members to ensure operational readiness for program delivery.
  • Support communications and campaign execution by providing program schedules, participant data, and reporting insights.
  • Act as a key point of contact for L&D operations, responding to inquiries and supporting stakeholders across the organization.
  • Support internal communications related to learning initiatives, including LMS announcements and department inbox management.
  • Prepare monthly, quarterly, and annual reports for the Head of Learning & Development.
  • Collect, analyze, and summarize feedback from learning programs to inform improvements.
  • Maintain organized and accurate records of all learning activities and documentation.
  • Execute data entry tasks related to learning initiatives, handling registrations, completions, and certificates with precision and attention to detail.
  • Coordinate sessions with vendors and Procurement to support the end-to-end delivery of external learning programs, including scheduling sessions, managing logistics and materials.
  • Support the administrative process for purchase requisitions and invoice submission in Procure, with oversight from the Manager.
  • Other duties as assigned in support of the Learning and Development Team.
