About The Position

Associated Students, Inc. (ASI) is a non-profit corporation guided by a student board and managed by full-time professional staff, established in 1963. ASI is considered part of the Cal Poly Pomona Division of Student Affairs and serves over 27,000 students by providing opportunities for engagement, employment, and various programs and services. The Learning Management System (LMS) Representative, under the supervision of the Senior Instructional Designer, will support the technical administration and daily operations of ASI’s Learning Management System(s) and related platforms. This role involves working with stakeholders to ensure learning modules are uploaded, tagged, and functioning correctly, as well as assisting with digital credential issuance, report generation, and troubleshooting for learners and staff. This position is ideal for students interested in educational technology, instructional systems, or digital learning operations.

Requirements

  • Attention to detail, comfort with data entry and file management, and strong organizational skills.
  • Ability to communicate clearly and troubleshoot basic user questions professionally.
  • Intermediate experience with Microsoft Office and multimedia content development software required.
  • Strong attention to detail, visual design sensibility, and ability to follow formatting and accessibility standards.
  • Ability to take direction, work independently, manage time effectively, and meet project deadlines.
  • Strong written communication and interpersonal skills, with a collaborative mindset.
  • Ability to work with a diverse student population and campus community.
  • Ability to operate a computer workstation using word processing, spreadsheet and other computer applications in use.
  • Ability to satisfactorily complete a background check (including a criminal records check).

Responsibilities

  • Upload and maintain digital learning content in the LMS (Canvas, Skillsoft), ensuring modules are accessible, functional, and accurately categorized.
  • Assist in tagging content with relevant metadata for learning reports, competency mapping, and dashboard alignment.
  • Issue digital credentials and badges upon course/module completion; track badge history and audit for errors or gaps.
  • Run standard LMS reports and dashboards to monitor course completions, engagement, and system usage.
  • Support basic LMS troubleshooting and provide first-level help to learners encountering technical issues.
  • Collaborate with the Instructional Designer Assistant and L&D Project Assistant to align module updates with course launch timelines.
  • Perform routine quality checks to ensure learning modules meet accessibility standards (WCAG 2.1), formatting guidelines, and usability benchmarks.
  • Assist in updating user roles, course enrollments, and notification settings in accordance with department protocols.
  • Maintain documentation and internal guides for LMS tasks, FAQs, and system processes.
  • Attend required training and retreats throughout the year.
  • Performs other related duties as assigned.
