About The Position

Fresh Lifelines for Youth (FLY) is an award-winning non-profit organization dedicated to partnering with youth to unlock their potential, disrupt the pipeline to prison, and advance justice. By 2030, FLY aims to dismantle California’s pipeline to prison, equip 30,000 youth for healthy, free, and productive lives. The Leadership & STAY FLY Programs Coordinator will support both the San Mateo County (SMC) Leadership and STAY FLY programs. This role is responsible for direct service and supporting all program functions to ensure effectiveness and efficiency. The position involves coordinating program activities, managing data entry, and assisting in the delivery of FLY’s STAY FLY curriculum for transition-aged youth (18-25) in county jails. The ideal candidate is passionate about social and racial justice, youth development, and youth voice, and is inspired to help youth and young adults transform the systems that impact them. They should demonstrate strong coordination and project management skills, possess a connection to the San Mateo County community, be familiar with local community-based organizations, have excellent organizational skills, and be confident in supporting youth leadership development and facilitating discussion-based curriculum with Transition-Aged Youth (TAY).

Responsibilities

  • Organize and coordinate logistics for program workshops, field trips, and events, including purchasing supplies and snacks, reserving rooms and event venues, preparing and transporting materials, ordering meals, creating agendas, and maintaining a strict budget.
  • In collaboration with the STAY Lead Case Manager, support weekly workshops for STAY FLY, including reviewing and adapting curriculum to TAY requests/interests.
  • Provide ongoing support to program teams to ensure they have the materials they need.
  • Manually track all aspects of event execution in planning spreadsheets.
  • Create event flyers prior to program events and trainings.
  • Maintain and update all necessary information into FLY’s ETO database and Google Drive, ensuring accuracy (program enrollment, program attendance, youth paperwork, evaluation surveys, etc.).
  • Manage and organize youth/young adult liability waivers, medical binders, and ensure paperwork is up to date and physically with the team at each event for youth emergencies.
  • Transport youth to and from designated program events and activities, as needed.
  • Enter program reimbursements into budget tracking systems, submit to accounting, and provide updates to the Programs Manager on spending trends.
  • Co-facilitate STAY FLY curriculum with the Lead Case Manager, in the community and local jails.
  • Prepare and project-manage the annual Leadership Program Retreat for 20+ youth and 10+ staff, including staff training, all materials/food, location, and activities.
  • Work with the Leadership Program Manager to prepare youth for Peer Mentorship and Service Learning Internship projects; facilitate trainings and meetings alongside youth to develop their leadership skills.
  • Support the Leadership Team in pitching the program and recruiting youth to join new cohorts each year, including designing a recruitment calendar.
  • Regularly drive to program sites, schools, courts, community locations, and other work-related destinations.
  • Safely transport youth and program materials as required for program activities.
  • Maintain a valid driver’s license and access to a reliable, properly registered and insured vehicle suitable for these responsibilities.
  • Comply with all organizational driving, safety, insurance, and youth transportation requirements.
  • Complete authorized business travel, for which mileage and related expenses will be reimbursed in accordance with organizational policy and California law.
