About The Position

This is a front-desk leadership role with real ownership in a Wellness & Aesthetics Med Spa. The position manages the patient experience from first contact to check-out and drives outcomes tied to membership enrollment and retention. The role emphasizes a consultative care approach rather than an assembly-line medicine model, with opportunities for growth within a clinic investing in quality.

Requirements

  • Customer-facing front desk or coordinator experience in a relevant environment such as a med spa, dental/ortho, plastics, hospitality, or similar.
  • Demonstrated ability to guide conversations, handle objections, and ask for commitment professionally.
  • Experience with memberships, packages, or retention programs, or adjacent conversion responsibilities like treatment plan acceptance, service upgrades, or subscription programs.
  • Strong comfort with scheduling and administrative systems; experience with scheduling software and administrative tools is preferred.
  • Ability to multitask, stay organized, and remain calm in a busy patient-facing environment.
  • Schedule availability to cover clinic hours, including evenings and Saturdays.

Nice To Haves

  • Spanish language proficiency is highly preferred.
  • Experience with Zenoti software.

Responsibilities

  • Manage lead-to-visit conversion by responding to inquiries, booking visits, and ensuring patient follow-up.
  • Drive membership enrollment by explaining services, promotions, and membership programs, and asking for the close.
  • Focus on membership retention through save conversations, proactive outreach, and reactivation follow-ups.
  • Support sales by rebooking appointments and collaborating with the team to hit retention goals.
  • Ensure seamless patient flow through check-ins/outs, accurate record-keeping, and service recovery.
  • Manage the schedule, including confirmations, waitlist management, and daily optimization to reduce gaps and no-shows.
  • Maintain a high-standards environment with a professional presence, crisp communication, and a lobby that matches the brand experience.
  • Lead and coach a small team of 1-2 other Patient Care Coordinators, setting the pace at the desk.
