As a LEAD Front Office Registrar, you’ll play a key role in creating a positive patient experience and ensuring smooth clinic operations. You’ll work closely with providers, nurses, and clinical staff to support efficient patient flow and accurate registration. The Lead Front Office Registrar (within the designated specialty - Medical, Dental or Behavioral Health) is responsible for functioning as a Front Office Registrar, while coordinating the daily operations of the front office to ensure a smooth, accurate, and efficient patient registration and check-in process. Working under the guidance of the Practice Manager, this role supports front office staff in delivering exceptional customer service, accurate data entry, and adherence to organizational protocols. The Lead Registrar serves as a key liaison between front office personnel and Practice Manager, assists with staff training, monitors workflows, and ensures compliance with all regulatory and operational standards. This position plays a critical role in maintaining the integrity of patient information, optimizing scheduling efficiency, and contributing to the overall patient experience at the health center.

Requirements

  • Associate’s degree or 5 years’ experience in a medical setting
  • Experience with electronic medical records (EMR) systems
  • Strong customer service and communication skills
  • Excellent attention to detail and organizational skills
  • Ability to multitask in a fast-paced environment

Responsibilities

  • Greet and assist patients in a courteous and professional manner to ensure a positive experience.
  • Perform complete and accurate registration, including demographic and insurance data verification.
  • Collect co-pays and self-pay fees; reconcile daily cash journals and prepare deposits.
  • Verify insurance eligibility, copay, deductible and pre-authorization requirements.
  • Prepare and scan documentation for upcoming appointments (pre-work), ensuring records are current and complete.
  • Maintain provider schedules and monitor patient flow to meet productivity targets.
  • Process patient recalls, appointment reminders, and no-show follow-ups to optimize scheduling.
  • Provide new patient orientation materials and assist with financial screening (providing information and scheduling appointments for Financial Counselors).
  • Support coordination with Billing, Insurance Verification, and Medical Records departments.
  • Uphold confidentiality and compliance standards (HIPAA, Joint Commission).
  • Serve as a role model and first point of contact for Front Office Registrars regarding workflow questions and problem-solving.
  • Monitor registrar performance to ensure accuracy, timeliness, and adherence to customer service standards.
  • Support onboarding and training of new front office staff, including system use, protocols, and best practices.
  • Assist the Practice Manager with daily operational oversight, including scheduling coverage, workflow issues, and patient flow improvements.
  • Conduct periodic audits of registration accuracy, insurance verifications, and front desk cash handling.
  • Provide feedback and coaching to front office team members to support continuous improvement.
  • Participate in and help facilitate staff meetings, training sessions, and quality improvement initiatives.
  • Communicate effectively with clinical and administrative staff to resolve front desk-related concerns.
  • Support implementation of front office initiatives and ensure alignment with organizational goals.
