About The Position

This role involves performing a variety of administrative and office management functions to support management personnel. Key responsibilities include scheduling, communication management, document control, procurement assistance, and travel coordination. The position requires a high degree of organization, attention to detail, and the ability to work independently while meeting strict deadlines. Experience within the DoD and knowledge of government policies are preferred.

Requirements

  • High School diploma required.
  • 2+ years of experience supporting management personnel.
  • Proficiency in Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel required.
  • Excellent communication skills and interpersonal skills talking to customers, vendors, and stakeholders.
  • Excellent customer service attitude.
  • Ability to multi-task and prioritize.
  • Must be a US citizen.
  • Ability to obtain a security clearance may be required.

Nice To Haves

  • Associate’s Degree in a managerial field desired.
  • Experience supporting management personnel within the DoD preferred.
  • Customer service experience a plus.
  • Proficiency in Government policies and procedures regarding correspondence, staff packages, suspense tracking, travel, file plans, and timecards preferred.

Responsibilities

  • Perform administrative and office staff management functions.
  • Schedule appointments using Microsoft Outlook or equivalent tools.
  • Answer the telephone and take messages.
  • Perform word processing, suspense, and task tracking.
  • Develop and conduct file plans.
  • Perform other administrative activities as required.
  • Work independently with little supervision.
  • Prepare office-related communications.
  • Take delivery of mail and couriered packages, process shipping requests, and ship packages/equipment.
  • Prioritize work and adhere to strict timelines for submission of reports/contract deliverables.
  • Assist with tracking Contract Data Requirements List (CDRL) deliverables from preparation through approval, keeping stakeholders informed.
  • Review, submit, and file reports, spreadsheets, and agreements for consistency and accuracy in accordance with policies, directives, regulations, and guidance, while maintaining configuration control of documents.
  • Obtain, document, organize, and prioritize quotes from vendors for materials, tooling, equipment, and supplies as requested by the leadership team.
  • Create and assist with Purchase Requests.
  • Manage a corporate credit card supporting leadership team purchasing requests.
  • Assist with coordinating lodging, hotel, rental car, airfare, and other travel arrangements for teams.
  • Perform other duties as assigned.
