About The Position

This fast-paced position ensures the production of a clear and understandable record of court proceedings by monitoring electronic recording equipment, maintaining detailed log notes, and promoting proper courtroom decorum. The incumbent will prepare the courtroom for daily hearings, operate and test equipment, and troubleshoot malfunctions. Responsibilities include facilitating the timeliness of hearings by gathering parties, calling for defendants, placing calls for telephonic hearings, and relaying information. The role involves administering oaths, distributing orders and paperwork, and managing exhibits, including marking, listing, accounting for, and storing them. For jury trials, the position ensures juror safety and well-being and handles the playback of testimony during deliberations. Duties may extend to assisting other court departments and performing tasks assigned by the Clerk of Court. This position also serves as backup for evening, weekend, and holiday clerks, works overtime when necessary, and assists in training new employees.

Requirements

  • Graduation from high school or completion of a General Education Development (GED) certificate.
  • One year of office clerical experience.
  • Ability to keyboard at least 40 words per minute (net).
  • Keyboarding certification dated within one year showing a keyboarding speed of at least 40 words per minute (net).
  • Post-secondary transcripts, if using education to meet minimum qualifications.
  • A list of three (3) professional references who have had supervisory authority over you, including your most recent supervisor, along with their daytime contact phone numbers and email addresses.
  • Certification that you have a legal right to accept employment in the United States.

Nice To Haves

  • Substitution: Additional office clerical work experience will substitute for the high school diploma or GED certificate on a month-for-month basis.
  • Substitution: Completion of 36 semester credit hours or 48 quarter credit hours of coursework from an accredited college will substitute for the year of required office clerical experience.
  • Substitution: Completion of an appropriate vocational training course of study such as legal secretary, paralegal, or office skills will substitute for the required office clerical experience on a month-for-month basis.

Responsibilities

  • Monitor electronic recording equipment to ensure a clear record of court proceedings.
  • Maintain detailed, accurate, and legible log notes.
  • Maintain and promote proper courtroom decorum in apparel and demeanor.
  • Prepare the courtroom for daily hearings by setting up, organizing, and maintaining the space.
  • Operate and test courtroom equipment.
  • Recognize and troubleshoot damaged or malfunctioning equipment.
  • Gather parties, call for in-custody defendants, and place calls for telephonic hearings to facilitate hearing timeliness.
  • Relay information to the judge or judicial assistant.
  • Administer oaths and distribute temporary orders, pre-sentence orders, and other required paperwork.
  • Manage the care and maintenance of exhibits, ensuring they are marked, listed, accounted for, and stored properly.
  • Return exhibits to parties or place them into storage at the end of a trial.
  • Ensure the safety, comfort, and well-being of jurors during jury trials.
  • Handle the playback of testimony during jury deliberations.
  • Assist other court departments when not in court.
  • Perform other duties as assigned by the Clerk of Court.
