The IT Asset & Knowledge Program Analyst plays a critical role in Vertex’s mission of changing lives through education by ensuring the technology that powers our schools is accurately tracked, well-governed, and supported by clear, usable knowledge. This role owns the day-to-day execution of Vertex’s IT Asset Management (ITAM) and Knowledge Management (KM) programs, enabling compliance, audit readiness, and operational consistency across Legacy Traditional Schools. By maintaining high-quality asset data, executing required controls, and delivering effective documentation for frontline teams, the Analyst helps ensure that students, educators, and staff have reliable access to the technology they need to succeed.

Requirements

  • Education: High school diploma ; associate’s or bachelor’s degree in information technology, business, or a related field preferred.
  • Experience: Minimum of two years of experience in at least two of the following areas: IT asset management, IT operations, IT service management, inventory controls, configuration management, or knowledge management.
  • Experience maintaining structured data sets with a high degree of accuracy.
  • Experience producing reports and performing reconciliations using spreadsheets or similar tools.

Nice To Haves

  • IAITAM Certified Hardware Asset Management Professional (CHAMP).
  • ITIL 4 Foundation certification.
  • Experience supporting K–12 education environments or distributed, multi-site organizations.

Responsibilities

  • IT Asset Management Program Operations: Maintain accurate and complete asset lifecycle records in the IT Asset Management system of record, ensuring required data elements are present and consistent. Execute scheduled ITAM controls, including monthly stockroom cycle counts, semester tagged-asset audits, and annual summer physical audits. Support asset lifecycle workflows including receiving, tagging, deployment, transfers, repair/warranty, and retirement or disposal in accordance with policy. Coordinate with Service Delivery and On-Site Technicians to ensure audit tasks are completed, validated , and properly documented.
  • Reconciliation & Data Integrity: Reconcile asset data across ITAM, student record systems, and device or directory platforms to ensure accuracy and alignment. Enforce minimum data quality standards and monitor record completeness and consistency. Identify recurring data or process issues and recommend operational improvements to reduce errors. Track and remediate discrepancies within defined service-level timelines.
  • Vendor & Compliance Documentation: Collect, validate , and retain required documentation from vendors, including packing lists, serial number files, RMA records, and e-waste certificates. Ensure disposal and retirement documentation is properly linked to asset records and meets audit requirements. Support compliance readiness by ensuring evidence is complete, accessible, and audit-ready . Partner with internal stakeholders to resolve documentation gaps or inconsistencies.
  • Knowledge Management Ownership: Own knowledge management governance, including templates, standards, metadata, review cadence, and publish/retire workflows. Create and maintain SOPs, runbooks, job aids, and FAQs supporting IT service delivery. Identify documentation gaps based on ticket trends and operational feedback. Ensure active knowledge content remains current, accurate , and usable by frontline teams.
  • Reporting & Program Communication: Provide regular status updates on IT Asset Management and Knowledge Management program performance, risks, and next actions. Produce recurring reports on audit completion, data quality, asset trends, and knowledge health. Flag risks related to compliance, data integrity, or knowledge adoption and recommend mitigations. Support continuous improvement through data-driven insights and reporting.
