Supervise the staffing and operations of a mail-processing center and copy center for Federal customers. This contract operates Monday through Friday 7:30am-3:30pm. The individual must be capable of providing effective technical direction, management and oversight to implement procedures for providing effective mail center and other departmental services. The Supervisor will work side by side with employees in a production environment; developing job skills, job safety and ensuring quality standards are met for the mailroom and copy-center services contract. The supervisor must build and maintain solid relationships with employees as well as federal customers and the Contract Manager. The goals of this position include improving efficiency and quality of services provided through job coaching and training of employees, reinforcing operational procedures, mentoring, and providing ongoing feedback on contract progress to management.

Requirements

  • High School Diploma or equivalent experience required
  • 3+ years of supervisor/assistant supervisor experience.
  • Must possess and demonstrate excellent customer service skills
  • Excellent Microsoft Office skills, especially Excel, Outlook, and Word
  • Excellent communication skills (written and verbal), grammar, and reasoning skills
  • Ability to handle confidential and sensitive information without breach
  • Ability to work independently and to report outcomes effectively.
  • Must pass a U.S. Government security clearance.
  • Ability to maintain electronic as well as paper files, reports, and records.
  • Ability to encourage, support, and mentor program participants.
  • Must be able to maintain daily, weekly, and monthly records and update procedural manuals.
  • Must be able to take initiative and think independently.
  • Must be able to provide quality customer service and serve as a role model for employees.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Nice To Haves

  • Experience specific to mail center, copy center, or warehouse preferred.
  • Experience in working with diverse populations is preferred.

Responsibilities

  • Coordinate activities by scheduling work assignments, setting priorities, and directing the work of subordinate employees.
  • Perform all job tasks listed in the Statement of Work and fill-in for absent employees when necessary.
  • Provide administrative support for the contract including maintaining reports, payroll/records management, billings and oversight of operational budget.
  • Interface with Director to ensure performance issues, contract compliance, statement of work issues and services are performed satisfactorily.
  • Provides rehabilitative services and ‘thinks outside the box” regarding overcoming barriers to employment for participants that need job accommodations, due to disability. This also includes the ability to maintain progress notes, performance plans, and annual reviews.
  • Provide job coaching to employees to help them learn necessary skills and to assist them in the more accurate completion of assigned tasks.
  • Ensure all employees are following company policies and procedures as well as safety standards.
  • Maintain quality control measures to ensure services are performed in accordance with commonly accepted commercial practices
  • Understands and teaches about safety in the workplace monthly as well as during the onboarding process for new hires. Follows all safety rules and regulations, while positively mentoring others to do the same.
  • Provides advocacy and support to maximize the full potential of employees.
