About The Position

We’re seeking an experienced Invoicing Specialist to help support our accounting team. They will be responsible for the timely and accurate creation and approval of insurance invoices and supplements.

Requirements

  • High school diploma or equivalent required.
  • A minimum of one to two years of experience in invoicing, billing, accounts receivable, or general bookkeeping.
  • Demonstrated ability to generate, review, and submit accurate invoices for completed residential and commercial projects.
  • Experience reconciling job costs against contracts, change orders, and scope of work documents.
  • Familiarity with progress billing, final invoicing, and warranty-related billing processes.
  • Working knowledge of the insurance restoration process, including the ability to read and interpret Xactimate estimates, insurance scopes, and supplements.
  • Experience invoicing insurance carriers, mortgage companies, and third-party claims administrators.
  • Ability to track deductibles, depreciation releases, and supplemental payments through the life of a claim.
  • Experience managing outstanding receivables, sending payment reminders, and following up on past-due balances in a professional and courteous manner.
  • Ability to track payment status across multiple open projects and maintain accurate aging reports.
  • Comfort communicating with homeowners, adjusters, property managers, and general contractors regarding payment timelines.
  • Proficiency in Microsoft Office, particularly Excel (formulas, sorting, filtering, and basic reporting).
  • Experience with accounting or bookkeeping software such as QuickBooks, Xero, or FreshBooks.
  • Ability to learn new systems quickly and maintain organized digital records.
  • Strong written and verbal communication skills with a professional and detail-oriented approach.
  • Ability to coordinate with project managers, sales teams, and office staff to ensure billing accuracy.
  • Exceptional organizational skills and the ability to manage a high volume of invoices and payment follow-ups with minimal supervision.

Nice To Haves

  • an associate degree in accounting, business administration, or a related field is preferred.
  • ideally within the construction, roofing, or home services industry.
  • Understanding of lien waiver requirements in the state of Idaho is preferred.
  • Familiarity with Xactimate or similar estimating software is a plus.
  • Familiarity with CRM or project management platforms such as Rooflink, JobNimbus, AccuLynx, etc.

Responsibilities

  • Diligently review and crosscheck supplement inspection forms.
  • Communicate effectively with project managers and sales representatives.
  • Utilize Xactimate efficiently to create and negotiate supplements.
  • Maintain a 3 day turnaround time on all invoice requests.
  • Follow up persistently with insurance companies and track approval status.
  • Collaborate with sales and accounting teams to resolve queries.
  • Conduct regular follow-ups, provide necessary information, and obtain documentation from carriers regarding supplement negotiations.
  • Maintain a 24 hr turnaround time on all communications with all emails, notes, slack messages & phone calls.
  • Handle escalated supplement cases by taking over negotiations and resolving complex approval issues that require senior-level intervention.
  • Assist monthly training sessions for AR and Invoicing teams.
  • Audit denied supplements and identify trends for improvement.
