About The Position

The Invoicing Specialist will play a crucial role in managing invoice inquiries and processing statement requests for customers. The specialist will utilize invoicing software such as Coupa and SAP to ensure accurate and timely invoicing. The role may also include assisting with collection responsibilities, focusing on relationship management rather than traditional collections.

Requirements

  • At least 6 months of experience in AR, invoicing, collections, or billing.
  • Ability to handle high volume workloads and meet weekly and monthly performance metrics.
  • Proficiency in multitasking and managing multiple priorities.

Nice To Haves

  • Experience with Coupa or SAP is a plus.
  • Customer service skills are essential and cannot be taught.
  • Experience in the manufacturing or service industry is desirable but not required.
  • No specific educational qualifications are necessary.

Responsibilities

  • Respond to invoice inquiries and manage statement requests for customers.
  • Work within customer portals and invoicing software like Coupa and SAP.
  • Assist with collection tasks by managing manufacturing and service accounts.
  • Establish and maintain positive relationships with customers to resolve unpaid accounts.
  • Coordinate with internal departments to resolve customer disputes.
  • Analyze account history and collaborate with various teams to address customer issues.
  • Contact customers regarding new order holds to resolve disputes and expedite payments.
  • Participate in the credit approval process as needed.
  • Respond promptly to customer requests via phone and email, including processing credit card payments and handling customer master updates.
  • Identify and escalate accounts requiring demand letters or third-party collection handling.
