About The Position

Swan is seeking an experienced and driven Inventory & Purchasing Manager to take full ownership of our materials, assets, and procurement operations. In this management role, you will be responsible for overseeing all company inventory and equipment across job sites, leading purchasing strategy, and ensuring our teams have the right materials at the right time. You will play a critical role in controlling costs, building vendor relationships, and keeping Swan's projects moving efficiently. This position reports directly to senior leadership and has significant impact on operational performance.

Requirements

  • 4+ years of experience in inventory management, purchasing, or operations
  • Proven ability to manage vendor relationships and negotiate contracts or pricing
  • Strong leadership and decision-making skills with a track record of owning processes end-to-end
  • Proficiency with inventory or purchasing software, spreadsheets, and standard business tools
  • Excellent organizational skills with high attention to detail and accuracy
  • Strong communicator — able to work effectively with field crews, vendors, project managers, and senior leadership
  • Ability to manage competing priorities and adapt in a fast-paced environment
  • Valid driver's license required; ability to visit job sites as needed

Responsibilities

  • Own and oversee the full lifecycle of all company tools, equipment, and materials across job sites and the main facility
  • Develop and enforce inventory management policies, procedures, and best practices
  • Lead regular physical audits and reconcile discrepancies between physical counts and system records
  • Manage asset tracking for all equipment — including assignment, maintenance scheduling, and disposition
  • Maintain organized, well-labeled storage areas and ensure proper controls are in place at all locations
  • Identify opportunities to reduce waste, shrinkage, and inefficiencies across inventory operations
  • Lead all procurement activities for materials, equipment, tools, and supplies needed across active and upcoming projects
  • Develop and manage vendor and supplier relationships — negotiating pricing, terms, and service agreements
  • Build and maintain an approved vendor list with performance benchmarks
  • Establish purchasing workflows, approval processes, and spend controls
  • Review and approve purchase orders, ensuring accuracy, cost-effectiveness, and alignment with project budgets
  • Monitor market pricing and proactively identify cost-saving opportunities
  • Partner with accounting to manage purchase order reconciliation, invoice approvals, and budget tracking
  • Serve as the primary point of contact between the field, project managers, and operations for all material and equipment needs
  • Anticipate project material requirements and work ahead of schedules to prevent delays
  • Produce regular reports on inventory levels, purchasing spend, asset utilization, and vendor performance for leadership review
  • Ensure compliance with company policies, safety standards, and any regulatory requirements related to materials and equipment
  • Mentor and, as the team grows, potentially supervise junior inventory or purchasing staff
