About The Position

The Information Governance department architects, builds, tests, deploys, supports, and manages the entire Microsoft 365 SharePoint Farm. It provides support to end users for architected SharePoint, Teams, and OneDrive issues, along with support for physical and electronic company records. The department identifies, researches, and resolves technical problems related to SharePoint, Teams, and OneDrive. It also indexes and categorizes physical information and coordinates the retrieval and return of physical boxes. Additionally, it coordinates shredding and scanning activities within the company, documents, reconciles, tracks, and monitors information that is sent offsite versus internal databases, and creates, supports, and manages Microsoft Forms and Power Platform Automations and Applications. Data Governance for both structured and unstructured data within our systems is also a key function, as is auditing system usage, storage, and site collections for activity and document storage issues.

Requirements

  • Student actively enrolled in a degreed program with an expected graduation date of December 2026 – May 2028.
  • Program areas: Information Technology, Computer Science, Information Systems, Business Administration, Library Science or Records Management, Data Analytics, Computer Information Systems, Communications or Digital Media.
  • Basic understanding or coursework related to Microsoft 365 applications including SharePoint, Teams, and OneDrive.
  • Familiarity with data management, records management, or information systems concepts.
  • Exposure to coursework in database management or data governance.
  • Basic understanding of Power Platform tools such as Power Automate or Power Apps is a plus.
  • Strong written and verbal communication skills.
  • Ability to learn quickly and apply documented processes and procedures.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite including Word, Excel, and Outlook.
  • Collaborate with a wide variety of people with tact, courtesy, and professionalism.
  • Maintain a high regard for personal safety, for the safety of company assets and employees, and the public.

Nice To Haves

  • Previous internship or work experience in an IT, records management, or data governance environment.
  • Hands-on experience with Microsoft SharePoint or Teams.
  • Familiarity with Power Platform including Power Automate, Power Apps, or Power BI.
  • Experience with or exposure to physical records management or document scanning and indexing.
  • Strong problem-solving skills and a natural curiosity for technology.
  • Self-motivated with the ability to work independently as well as collaboratively within a team.

Responsibilities

  • Collaborating with team members to accomplish daily departmental tasks and contribute to ongoing project work.
  • Assisting with the support of end users experiencing issues related to SharePoint, Microsoft Teams, and OneDrive.
  • Learning and applying published documentation and established processes to resolve technical issues and respond to support requests.
  • Assisting with the indexing and categorizing of physical records and coordinating the retrieval and return of offsite physical boxes.
  • Supporting the coordination of shredding and scanning activities across the company.
  • Assisting with documenting, reconciling, tracking, and monitoring information sent offsite against our internal databases to ensure accuracy.
  • Supporting the creation and maintenance of Microsoft Forms and Power Platform automations and applications.
  • Assisting with auditing system usage, storage, and SharePoint site collections for activity and document storage issues.
  • Contributing to data governance efforts for both structured and unstructured data within company systems.
  • Gaining exposure to the full Microsoft 365 ecosystem including SharePoint, Teams, and OneDrive.
  • Taking on responsibilities similar to those of regular staff members, giving you true and meaningful professional experience.
