About The Position

The Huntsville-Madison County Airport Authority is accepting applications for the position of Intermodal Services Coordinator. Duties include performing a variety of specialized secretarial, clerical, and technical support for the Intermodal department of the Airport Authority.

Requirements

  • One year of experience in supply chain, inventory or cargo management.
  • Two years of experience performing administrative support tasks, including Microsoft Office Suite (Outlook, Word, Excel & Adobe).
  • Experience in the development of spreadsheets, databases, and departmental correspondence.

Responsibilities

  • Performing physical yard inventory and ensuring data entries upload correctly.
  • Responsible for order acceptance, order tracking and maintenance, accessorial management, and daily solicitation of orders from existing customers.
  • Container tracking/tracing, customer correspondence, and overall customer satisfaction.
  • Planning inbound and outbound freight based on deadlines and types of containers on the load plan.
  • Monitoring the movement of freight to ensure containers are mounted in a timely manner to meet customer needs.
  • Providing regular status reports of shipments in progress to customers.
  • Compiling information for calculation of lifts per man hour and other required data.
  • Assisting in resolving situations involving distressed loads or other trip complications.
  • Ensuring physical yard checks and inventories are accurate and updating the system to appropriately account for containers.
  • Communicating with yard personnel to determine utilization of rail cars and confirm availability.
  • Coordinating with rail management and crews on inbound/outbound shipments.
  • Executing grounding and loading of containers through customer set up requests, customer needs, and tracking.
  • Maintaining communication with customers, providing regular status updates and promptly addressing any inquiries.
  • Resolving issues with loads as they arise and escalating to supervisor and manager as needed.
  • Receiving and processing driver paperwork into the computer data tracking system.
  • Monitoring and tracking expenditures to the Intermodal operating budget.
  • Processing all department-related invoices into the designated computer software system.
  • Investigating and resolving all suspected invoice discrepancies and submitting for payment once approved.
  • Working closely with all IIC rail carriers, truck and ship lines to coordinate loads and satisfy customer needs.
