The purpose of this position is to provide space planning, data analysis, reporting and interpretation of space planning & Occupancy metrics to provide recommendations and proposed solutions for internal planning needs. A Space Planner designs, optimizes, and manages the layouts of interior environments. They analyze space utilization data, create floor plans and "test fits" using CAD or BIM software, and coordinate furniture and equipment placement to ensure maximum functionality, compliance, and efficiency. An Occupancy Planner analyzes space utilization information, forecasted headcount needs, and current seating assignments to provide occupancy plans to support business growth and collaboration.

Requirements

• Bachelor’s degree in interior design or architecture, or a related field.
• 2–5 years of experience in design, corporate space and occupancy planning
• Advanced proficiency in AutoCAD required; working knowledge of Revit/BIM preferred
• Proficient in MS Office Suite (MS Project, PowerPoint, Word).
• Experience with IWMS/CAFM platforms (e.g., Nuvolo, WSD, Archibus, Centerstone)
• Ability to generate and interpret complex occupancy reports using advanced Microsoft Excel skills (pivot tables, Vlookup, complex formulas, data analysis)
• Strong organizational skills with the ability to maintain accurate records, documentation, and data integrity.
• Ability to provide efficient, timely and reliable service to internal clients, present information in an effective way, collaborate, solve problems, and multi-task.
• Strong project management, communication, and problem-solving skills to present ideas clearly to stakeholders and navigate evolving business needs.
• Strong analytical and critical-thinking skills with the ability to interpret occupancy, utilization, and workforce planning data and translate findings into actionable recommendations.
• Ability to manage multiple projects and priorities simultaneously in a fast-paced, evolving environment.
• Customer-service mindset with a focus on delivering high-quality solutions to internal stakeholders.
• Ability to influence and build relationships across departments without direct authority.
• Ability to maintain confidentiality when handling employee location, headcount, and organizational planning information.
• Ability to read and interpret architectural drawings, construction documents, and furniture plans.
• Excellent spatial visualization
• Familiar with system furniture design and modular furniture while demonstrating knowledge of building codes, ADA, and workplace standards

• Experience designing spaces tailored to dynamic, hybrid working arrangements (e.g., hoteling, hot-desking, and collaborative zones).
• Sketch-up or other 3D modeling and visualization tolls
• Experience with Bluebeam, ACC Build, & Smartsheet
• Experience with conflict resolution
• Strong presentation and storytelling skills to communicate planning concepts, data insights, and recommendations to various audiences.
• Self-starter with the ability to work independently while collaborating effectively within cross-functional teams.

Responsibilities

• Assist with interior space layouts, including floor plans and test fits, utilizing CAD or BIM tools.
• Identify and recommend space optimization opportunities, coordinating with appropriate teams to support business needs and decision-making.
• Analyze space utilization metrics, headcount forecasts, and seating assignments to develop occupancy plans.
• Provide data-driven recommendations to support business growth, collaboration, and workplace performance.
• Monitor and report on occupancy trends, identifying opportunities for optimization and efficiency improvements.
• Enter new and maintain accurate space, occupancy, and headcount data within IWMS systems.
• Maintain data quality and oversight practices to promote accuracy, consistency, and adherence to organizational standards.
• Update space records, resolve discrepancies, and ensure documentation aligns with established workflows.
• Proactively identify, assess, and escalate space conflicts and policy expectations, to ensure timely resolution and compliance with workplace standards.
• Support planning activities across multiple locations.
• Assist with audits, site assessments, and space validation efforts.
• Partner with facilities management, IWMS/database teams, and workplace stakeholders to align planning efforts.
• Produce presentations for internal stakeholder meetings for review and feedback.
• Partner with other departments on move and relocation sequencing and execution.
• Other duties as assigned.
