As an Intake & Scheduling Coordinator, you’re the person who keeps on track from the very first contact. You review referrals, gather and enter key information, coordinate appointments, and make sure insurance and authorizations are in place before care is scheduled. Your attention to detail, organization, and ability to stay ahead of the workflow help ensure patients get timely care and the clinic runs smoothly. This is an entry-level opportunity that offers on-the-job training and exposure to healthcare operations. In this role, you’re the first connection patients have to getting care—and you keep everything moving behind the scenes so nothing falls through the cracks. You’ll spend your day reviewing incoming referrals, making sure all the details are complete, and then getting patients scheduled in the right spot at the right time. You’ll verify insurance, check benefits, and secure authorizations before appointments are set, helping patients understand what to expect financially and what steps come next. You’ll also keep a close eye on schedules, juggling changes, cancellations, and waitlists to make sure providers are used efficiently and patients aren’t left waiting longer than they should be. Accuracy and communication are a big part of your day—you’re entering and updating information in the EMR, answering calls and messages, and making sure patients, providers, and referral sources are all on the same page. At its core, you’re the organizer, problem-solver, and communicator who helps ensure patients get timely access to care and that the flow of the clinic runs smoothly from start to finish.
