About The Position

The SAAAC Autism Centre is a Toronto based charity whose mission is to make autism services equitable for all Canadians. The Centre provides culturally responsive autism services targeting culturally and linguistically diverse families. Using a multi-disciplinary approach, our Centre offers a dynamic range of services that support the development of individuals on the autism spectrum at all life stages, along with their caregivers. We’re looking for a compassionate, organized, and proactive Intake Coordinator to serve as the first point of connection for families entering SAAAC services. In this role, you will play a critical part in ensuring families feel welcomed, informed, and supported from their very first interaction with our Centre. You will manage incoming inquiries, guide families through the intake process, and help connect them to the programs and services that best meet their needs. Working closely with clinical and community teams, you will help ensure a smooth and responsive intake experience while supporting families who may be navigating complex systems for the first time. Requirements

  • Diploma or degree in social work, psychology, health services, or a related field (or equivalent experience)
  • Strong interpersonal and communication skills, with a warm and professional approach
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Cultural sensitivity and ability to work with newcomer and underserved communities
  • Proficiency in Microsoft Office 365
  • A strong commitment to SAAAC’s values of equity, inclusion, and culturally responsive care

Nice To Haves

  • Experience in intake coordination, client services, or administrative support is an asset
  • Experience with Penelope or similar systems is an asset
  • Speaking additional language is an asset

Responsibilities

  • Screen potential clients for eligibility across clinical and community-based programs
  • Conduct intake calls and initial assessments with families and caregivers
  • Respond to program inquiries received through phone, website, email, and walk-ins
  • Collect and maintain accurate client information, documentation, and medical records
  • Schedule and facilitate intake meetings and program placements
  • Ensure timely, respectful, and clear communication throughout the intake process
  • Conduct outreach to families on program waitlists to assess needs and readiness
  • Provide updates on program availability and timelines
  • Support families in understanding available services and next steps
  • Maintain organized and up-to-date waitlists across multiple programs
  • Maintain accurate and up-to-date records in the client database
  • Track intake activity, inquiries, and program placements
  • Ensure all documentation is complete, organized, and compliant with internal processes
  • Build and maintain relationships with referral sources and community partners
  • Collaborate with internal teams to support smooth transitions into programs
  • Participate in team meetings, training, and ongoing process improvements
