About The Position

The Insurance Specialist is a key member of the Legal and Risk Management team and serves as the primary administrator for the Company's workers' compensation, general liability, property, and auto claims programs. Reporting to the Director of Risk & Insurance, this position partners closely with Legal, Human Resources, Safety, Store Operations, Facilities, Treasury, and third-party administrators to ensure claims are managed efficiently, regulatory requirements are met, and business risk is minimized. This role requires a self-driven insurance professional who can independently manage a high volume of claims in a fast-paced, multi-state retail environment while exercising sound judgment and maintaining strong relationships with internal business partners, insurance carriers, brokers, attorneys, and third-party administrators. The Insurance Specialist is responsible for claims administration from initial notice through resolution, OSHA recordkeeping, certificates of insurance, insurance compliance, litigation support, policy renewals, and risk reporting. The role also supports the Director of Risk & Insurance with insurance renewals, policy placements, contractual insurance reviews, and strategic risk management initiatives. Success in this position requires strong analytical skills, exceptional organization, attention to detail, the ability to prioritize competing deadlines, and confidence communicating with individuals at all levels of the organization.

Requirements

  • Bachelor's degree in Risk Management, Insurance, Business Administration, Legal Studies, or a related field, or equivalent professional experience.
  • Minimum of 3 years of insurance claims, risk management, or workers' compensation experience, preferably within a multi-location retail organization.
  • Demonstrated experience administering workers' compensation claims across multiple states.
  • Working knowledge of OSHA recordkeeping requirements and workers' compensation regulations.
  • Experience working directly with insurance carriers, brokers, third-party administrators, attorneys, and internal business partners.
  • Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
  • Ability to independently manage multiple priorities in a fast-paced environment while consistently meeting deadlines.
  • Excellent written and verbal communication skills with the ability to communicate effectively across all organizational levels.
  • Advanced proficiency in Microsoft Office, particularly Excel.

Nice To Haves

  • Retail industry experience supporting multi-location operations.
  • Experience within an in-house Legal or Corporate Risk Management department.
  • Experience with insurance renewals, policy administration, and Certificates of Insurance.
  • Familiarity with lease insurance requirements and contractual risk transfer.
  • Experience with claims management software and incident reporting systems.
  • Associate’s in Risk Management (ARM), CPCU, or other insurance designation, or progress toward obtaining one.

Responsibilities

  • Independently administer workers' compensation, general liability, property, auto, and other assigned insurance claims from initial reporting through closure.
  • Partner with third-party administrators, insurance carriers, brokers, defense counsel, and internal stakeholders to drive timely, cost-effective claim resolution.
  • Monitor claim activity, reserves, litigation status, settlements, and action plans to ensure appropriate handling and favorable outcomes.
  • Coordinate investigations by gathering documentation, reviewing incident reports, obtaining witness statements, and analyzing supporting evidence, including video surveillance.
  • Support litigated matters by coordinating with the Legal Department, outside counsel, and insurance carriers.
  • Manage multi-state workers' compensation claims in compliance with applicable state regulations.
  • Coordinate return-to-work efforts with Human Resources, Store Operations, and adjusters.
  • Assist with bona fide job offer letters and other return-to-work documentation.
  • Serve as a resource for stores regarding workers' compensation procedures and claim management.
  • Maintain OSHA injury and illness records for all store locations, including annual posting and electronic reporting requirements.
  • Issue and manage Certificates of Insurance while ensuring compliance with lease agreements, contracts, and vendor requirements.
  • Review lease and contract insurance requirements to ensure appropriate insurance coverage and compliance.
  • Support annual insurance renewals by gathering underwriting information, claim summaries, and exposure data.
  • Assist with insurance policy placements and renewal activities in partnership with the Director of Risk & Insurance.
  • Analyze loss runs, claim trends, and incident data to identify emerging risks and recommend corrective actions.
  • Prepare reports and metrics for leadership regarding claim frequency, severity, and financial impact.
  • Maintain accurate claims documentation and ensure compliance with company policies and regulatory requirements.
  • Assist with subpoena responses, legal hold requests, and document preservation efforts.
  • Manage shared Risk & Insurance email inboxes and respond to internal inquiries.
  • Process invoices, purchase orders, and claim-related payments.
  • Assist with surety bonds and other insurance administration activities.
  • Participate in special projects and continuous improvement initiatives supporting the Legal and Risk Management function.
