Instructional Support Specialist – Continuing Education
About The Position
The Instructional Support Specialist - Continuing Education provides comprehensive instructional, operational, and administrative support for the Continuing Education Division. This position serves as a key resource to the Associate Dean of Customized Industry Training & Apprenticeships and the Director of Continuing Education Transportation & Manufacturing Programs, faculty, and students by coordinating course offerings, processing section requests, maintaining instructional records, supporting enrollment management, and facilitating the effective delivery of workforce and community education programs. The Instructional Support Specialist exercises independent judgment in coordinating instructional operations, ensuring compliance with college and state requirements, maintaining accurate records, and supporting strategic initiatives within the division. The position serves as a liaison among instructors, staff, students, business and industry partners, and college administration.
Requirements
- Associate degree from an institution accredited by a federally recognized accreditor
- Two years of progressively responsible administrative, instructional support, or program coordination experience
- Experience with student information systems and course scheduling software

Responsibilities
- Assist with the coordination of the development, processing, and maintenance of section requests for continuing education courses
- Assist with preparation and maintenance of course schedules, instructional assignments, and room utilization schedules
- Assist with course setup, revisions, cancellations, and updates in the student information system, Colleague
- Monitor course enrollments in FundFive
- Register and communicate enrollment trends to administrators and program coordinators
- Coordinate class logistics, including facilities, equipment, instructional materials, and technology needs
- Ensure instructional documentation is completed and submitted according to established deadlines
- Maintain accurate non-curriculum course, program, and student records in compliance with NC State Board Code
- Assist instructors with instructional resources, classroom needs, and course documentation
- Process instructor onboarding documentation, contracts, and payroll-related paperwork
- Coordinate communication between instructors, coordinators, and college departments
- Maintain instructional files, evaluations, and compliance records
- Support professional development and training activities for instructors
- Assist students with registration, enrollment, and general program inquiries
- Provide accurate information regarding class schedules, program requirements, and continuing education services
- Support student retention efforts through timely communication and follow-up activities.
- Assist with registration events, orientations, and recruitment initiatives
- Monitor deadlines and ensure required documentation is submitted on time
- Maintain inventories of instructional equipment, supplies, and materials
- Assist in the coordination of workforce development and special training programs
- Other duties as assigned by the Associate Dean of Customized Industry Training & Apprenticeships and the Director of Continuing Education Transportation & Manufacturing Programs and the Senior VP of Economic and Workforce Development
