About The Position

The Institutional Advancement Specialist supports the Uniformed Services University of the Health Sciences (USU) Office of the Vice President for External Affairs by coordinating institutional advancement, alumni engagement, strategic partnership, and development initiatives. The position serves as a key liaison among internal and external stakeholders and contributes to the establishment, implementation, and continuous improvement of programs that advance the University's strategic priorities, philanthropic efforts, and external affairs objectives.

Requirements

  • Bachelor's degree in Communications, Public Administration, Business Administration, Nonprofit Management, Healthcare Administration, Marketing, or a related field.
  • Minimum five (5) years of experience in alumni relations, institutional advancement, fundraising support, development operations, external affairs, strategic partnerships, or related program management.
  • Minimum three (3) years within the last five (5) years experience coordinating multiple projects and stakeholders in a deadline-driven environment.
  • Successfully pass background and drug screening

Nice To Haves

  • Master's degree in a related discipline.
  • Experience developing executive reports, briefings, dashboards, and analytical products.
  • Experience utilizing CRM platforms, constituent relationship databases, or comparable information management systems.
  • Proficient with Microsoft Office Suite, Microsoft Teams, SharePoint, and other business collaboration tools.
  • Ability to exercise sound judgment, maintain confidentiality, and work independently with minimal supervision.
  • Ability to establish and effective working relationships with diverse stakeholders.
  • Knowledge of institutional advancement, alumni relations, stakeholder engagement, and development program operations.

  • Ability to prepare professional correspondence, reports, presentations, and briefing materials.
  • Ability to work collaboratively in a team-oriented environment while maintaining independent responsibility for assigned tasks.
  • Experience supporting fundraising, donor cultivation, philanthropic initiatives, or development campaigns.
  • Experience working within higher education, academic medicine, military, Department of Defense, or federal organizations.
  • Knowledge of alumni engagement strategies, advancement operations, and relationship management best practices.
  • Experience supporting executive-level leadership and governance activities.
  • Ability to be professional, ethical, follow confidentiality, and provide customer service excellence.

Responsibilities

  • Coordinate activities associated with the implementation and continuous improvement of institutional advancement and development programs.
  • Serve as liaison between the Office of the Vice President for External Affairs, the Henry M. Jackson Foundation for the Advancement of Military Medicine, the USU Alumni Association, development consultants, and other stakeholders.
  • Support alumni engagement initiatives, communications campaigns, meetings, special events, and outreach efforts.
  • Maintain alumni records, engagement metrics, constituent information, and related databases to support relationship management and reporting activities.
  • Monitor project schedules, milestones, performance measures, and contract deliverables.
  • Identify potential risks and issues requiring Government attention.
  • Prepare executive reports, dashboards, briefings, presentations, and analytical products to support leadership decision-making.
  • Coordinate stakeholder meetings, working groups, and communication activities associated with alumni affairs, institutional advancement, and strategic partnerships.
  • Assist in developing and documenting business processes, standard operating procedures, program guidance, and operational workflows.
  • Ensure compliance with applicable Federal, Department of Defense (DoD), USU, privacy, records management, and institutional policies.
  • Track action items and follow-up activities to ensure timely completion of program objectives.
  • Support data collection, analysis, benchmarking, and reporting efforts related to advancement and engagement activities.
  • Perform additional duties within the scope of the contract as assigned by the Government.
