About The Position

Requirements

  • Prior HVAC Install Coordinating experience is a plus!
  • Computer literate; Intermediate experience in Microsoft Office Suite, preferred
  • Ability to multi-task and prioritize workload
  • Strong customer service skills
  • Self-Starter who can work independently, and as a team
  • Able to communicate effectively verbally and in writing
  • Pride in being organized and detailed

Nice To Haves

  • Prior HVAC Install Coordinating experience
  • Intermediate experience in Microsoft Office Suite

Responsibilities

  • Manage the day to day scheduling operations and ensure that jobs are ready for installation.
  • Perform company purchasing duties per the company’s purchasing procedures.
  • Create department job files.
  • Contact customers regarding scheduling issues.
  • Schedule subcontractors and inspections.
  • Coordinate communication between installers, field supervisors, customers, vendors, and the office.
  • Update and maintain the schedule board with all sold jobs.
  • Communicate scheduling issues with other departments, including sales.
  • Check paperwork and timecards from the previous day’s job, and schedule any punch lists or uncompleted items.
  • Ensure that at least one installer’s tools and van are inspected each week.
  • Make sure that all jobs have permits and that inspections are called in timely.
  • Create all job packets.
  • Purchase equipment and schedule subcontractors, maintaining a five-day lead-time.
  • Know the whereabouts and progress of the crew daily.
  • Process extended warranties and customer rebates.
  • Coordinate with vendors as needed regarding returns, warranty, delivery, etc.
  • Coordinate van service and repairs with the fleet supervisor.
  • Check with Dept. Managers for any job site deliveries.
  • Complete paperwork for job costing, orders received, etc., and send to accounting.
  • Schedule layouts and update layout & design schedules, coordinating with the Installation Manager.
  • Create any reports deemed necessary to track Sales/Install information.
  • Maintain equipment pricing.
  • Maintain literature inventory, presentation, and stamping with company name & phone.
  • Take and schedule incoming sales appointments.
  • Assist H.S.A. in closing jobs through phone calls, discussion, and showroom assistance.
  • Process all sales-related packet information daily, ensuring the job progression form is completely filled out.
  • Process all finance documents & schedule with the customer for signage.
  • Provide assistance in completing job packets.
  • Act as a liaison between Customer & H.S.A., making happy calls or sending thank you cards to the customer.
  • Resolve customer differences, design & mail customer thank you gifts.
  • Take incoming customer calls and respond to all messages left overnight.
  • Maintain the dispatch board / schedule.
  • Forecast workload for 2–3 days out.
  • Follow up on all pending and recommended work with customers.
  • Assist in the development of marketing, advertising, and collateral creation of implementation.
  • Provide necessary backup for the Sales Coordinator on phones.
  • Provide weekly updates to the Satisfaction Survey, including Customer name & address for jobs installed.
  • Participate in weekly sales meetings.
  • Update customer files as information is received from installation (Extended warranties, equipment info, new customers, Birthday tickler file, etc.).
  • Assist Warehouse in ordering parts for special orders.
  • Maintain the on-call schedule, to include 1st on-call and standby installer.
  • Conduct happy calls / customer surveys.
