About The Position

The Inside Sales Representative position is multifaceted in nature, combining sales support, administrative coordination, and technical assistance. This position plays a critical role in supporting the outside sales team by helping to identify opportunities, review project specifications and drawings, contribute to proposal development, and manage internal booking processes. The ideal candidate is detail-oriented, technically inclined, and collaborative, with a strong ability to work across departments in a fast-paced environment.

Requirements

  • High School Diploma / GED.
  • 2+ year experience supporting sales, inside sales, or administrative roles—preferably within the building automation /HVAC mechanical industry.
  • 2+ years experience with Microsoft Office Suite at a proficient level.

Responsibilities

  • Research, identify, and track bid opportunities through online bid/specification platforms and construction opportunity databases.
  • Collaborate with outside sales representatives to review project documentation, perform take-offs, and interpret engineering drawings to support accurate estimates.
  • Support the proposal development process by assembling documentation, technical references, compliance materials, and formatted proposal packages.
  • Facilitate through coordination with Sales and Booking teams the internal booking process for awarded projects, ensuring all required documentation is accurate, complete, and submitted on time.
  • Act as a liaison between outside sales and internal teams—including design/engineering, operations, and finance—to ensure alignment on project requirements, timelines, and deliverables, including providing coordination support during hand-offs and status updates.
  • Assist with customer communications (e.g., documentation follow-ups, confirmations, clarification requests) and help troubleshoot or escalate issues that may affect proposal or booking timelines.
  • Contribute to the continuous improvement of sales support tools, templates, processes, and participate in ad hoc initiatives as directed by sales leadership.
