About The Position

Reporting to the Inpatient Clinical Manager, the Inpatient Summer Student will support the day-to-day functioning of the inpatient unit through a combination of inventory and supply management, records organization, and quality improvement activities. Working closely with inpatient program assistants, clinical staff, and the Quality Lead, this role offers a hands-on introduction to the healthcare environment, with a focus on clinical operations, documentation, and infection prevention and control practices. You will help ensure that staff have the supplies, information, and systems they need to provide high-quality, client-centered care.

Requirements

  • Currently enrolled in, or a recent graduate of, a degree or diploma program in Nursing, Health Sciences, Health Information Management, Data/Informatics, or a related field.
  • Knowledge of the healthcare environment and familiarity with medical and/or mental health terminology.
  • Strong organizational, time-management, decision-making and problem-solving skills
  • Able to work independently, prioritize tasks, and meet deadlines in a busy clinical environment.
  • Comfortable with administrative tasks, data entry, and working with both paper and electronic records.
  • Must be able to safely lift up to 20 lbs (e.g., files, supply boxes) as part of inventory and records work.

Nice To Haves

  • Experience in an administrative role, preferably in a healthcare setting, is an asset.
  • Knowledge of the Personal Health Information Protection Act (PHIPA) and other applicable privacy regulations is an asset.

Responsibilities

  • Conduct routine PPE inventory on inpatient units.
  • Assist with organizing and replenishing relevant inpatient supplies, as assigned.
  • Review and organize inpatient paper medical and hospital records.
  • Review and organize inpatient electronic medical records.
  • Assist with data conversion and data migration activities related to inpatient files.
  • Make recommendations for document storage (paper and/or digital) and support the development of appropriate filing systems.
  • Organize documents that no longer need to be retained and prepare them for secure destruction.
  • Assist with faxing inpatient-related medication orders and ensuring accurate documentation of transmissions.
  • Sort, label, and store inpatient files in accordance with established procedures.
  • Provide clerical support to inpatient program assistants and nursing staff (e.g., photocopying, filing, basic communications).
  • Assist with policy review, data entry, and other clerical inpatient tasks.
  • Support other inpatient clinical projects as assigned.
  • Follow procedures and instructions accurately and work collaboratively with the clinical team.
  • Complete hand hygiene audits on inpatient units, following established tools and processes.
  • Participate in chart audits and other inpatient quality initiatives coordinated by the Quality Lead.
  • Uphold the highest standards of confidentiality when handling personal health information and other sensitive documents.
