About The Position

This role involves supporting the Senior Director of Industrial Operations, Industrial Engineering & Information Technology (IOIEIT). Key responsibilities include managing IT requests, executing daily office functions, providing clerical support, coordinating meetings and travel, handling correspondence, and analyzing data. The position also involves managing time and payroll administration, developing reporting tools, and administering the IOIEIT SharePoint site. Participation in project teams and driving improvement initiatives are also expected.

Requirements

  • High school diploma or its equivalent
  • Two years of combined experience in an administrative and analytical role
  • Basic knowledge of Microsoft Office programs such as Outlook, Word, Access and PowerPoint
  • Intermediate knowledge of Microsoft Excel
  • Ability to analyze data to determine trends and recommend standards
  • Ability to quickly learn new systems and processes
  • Knowledge of office etiquette, proper phone etiquette, filing and grammar rules
  • Excellent written and verbal communication skills
  • Ability to work independently and be a self-starter
  • Ability to edit and proofread documents
  • Excellent Interpersonal skills
  • Ability to be detail oriented
  • Ability to multi-task and demonstrate time management skills (plan, organize and follow through on tasks)

  • Associate’s degree or equivalent in a general office administration role
  • Four years of combined experience in an administrative and analytical role
  • Strong knowledge of Publix Information Technology policies and processes such as software licensing policies, security roles, segregation of duties and hardware/software request process as well as Industrial Operations IT approval processes
  • Intermediate knowledge of Microsoft Office programs such as Outlook, Word, Excel, Access and PowerPoint
  • Knowledge of Publix and Industrial Operations data sources
  • Knowledge of Publix corporate culture and structure
  • Knowledge of the Industrial Operations Manager’s Reference Library (MRL)

Responsibilities

  • Gathering and evaluating data for, submitting and monitoring Information Technology (IT) requests for Industrial Operations IE data access, hardware and software for Industrial Operations
  • Executing the day-to-day functions of the office of the Senior Director of Industrial Operations Industrial Engineering & Information Technology (IOIEIT)
  • Providing clerical support to the Director and Senior Managers
  • Scheduling and coordinating meetings, travel arrangements and special events
  • Answering phone calls, preparing correspondence, responding to emails, distributing mail and filing
  • Tracking, reporting and analyzing data routinely or at the request of staff members in IOIEIT
  • Managing the accurate and timely execution of time and payroll administration for associates in Industrial Engineering & Information Technology (IOIEIT)
  • Developing, creating and maintaining reporting, analyses, tracking tools, presentations and documents
  • SharePoint site design, development, ownership and administration for Industrial Engineering & Information Technology (IOIEIT)
  • Participating on project teams and driving improvement projects within the Senior Director’s office
  • Other duties as assigned
