About The Position

The Immersive Classroom Project Coordinator coordinates project activities, stakeholder communication, scheduling, documentation, and operational support for Research Experiences and Education Immersive Classroom initiatives. This role supports the planning, execution, and continuous improvement of immersive classroom experiences designed to engage internal teams, external partners, community organizations, and education-focused audiences. The role works to ensure immersive classroom projects are delivered on time, aligned to goals, and supported by clear processes, documentation, and communication. Requirements

  • Bachelor's degree in business administration, project management, education leadership, or equivalent combination of education and experience.
  • Experience coordinating projects, programs, events, presentations, outreach activities, or operational workflows involving multiple stakeholders.
  • Experience working with multiple stakeholder groups and utilizing project management tools, scheduling tools, documentation systems, or web-based workflow platforms.
  • Excellent communication, writing, and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as a part of a team.
  • An eagerness to learn, adapt, and take on new challenges as part of a remote team or hybrid team environment
  • Problem-solving and critical-thinking skills.
  • Ability to manage multiple stakeholder groups and coordinate across departments.

Nice To Haves

  • Proficiency in project management software and web-based tools, such as Monday.com, preferred.
  • Interest or experience in nonprofit, education, outreach, immersive learning, technology-enabled learning environments, safety, social impact, or environmental issues preferred.

Responsibilities

  • Collaborate with project leads and stakeholders to develop and maintain project plans, schedules, timelines, and deliverables supporting Immersive Classroom initiatives.
  • Facilitate clear and effective communication among internal teams, external partners, community organizations, and other stakeholders, ensuring alignment and timely information sharing.
  • Organize, support, and document regular project status meetings, capturing key discussions, decisions, and action items.
  • Track and maintain project schedules and timelines, ensuring milestones are met, and tasks are completed on schedule.
  • Coordinate Immersive Classroom activities, presentations, outreach events, and stakeholder engagements, supporting successful delivery and execution.
  • Monitor project activities and stakeholder feedback, identifying issues, risks, or opportunities for improvement and escalating concerns as appropriate.
  • Serve as a liaison to stakeholders interested in utilizing the Immersive Classrooms, gathering requirements, clarifying expectations, coordinating next steps, and maintaining ongoing communication.
  • Prepare and maintain comprehensive project documentation, including project plans, status reports, meeting minutes, and stakeholder updates, presentation tracking, and post-project evaluations highlighting progress, challenges, achievements, and lessons learned.
  • Contribute to continuous improvement efforts by applying lessons learned, incorporating best practices, and staying current on trends related to immersive learning environments and stakeholder engagement.
  • Perform other duties as assigned.
