About The Position

The IDHS Program Coordinator is a full-time, grant-funded position that supports the development, coordination, and delivery of training for SNAP and other IDHS Employment & Training providers throughout Illinois. This position reports to the IDHS Training & Development Program Manager and plays a vital role in coordinating logistics, contracts, materials, data collection, evaluation, marketing, and communication for IDHS program trainings and technical assistance, as well as advisory group and community of practice meetings for frontline providers.

  • 2–3 years of program or project coordination in a nonprofit, training, or workforce development setting.
  • Strong administrative and logistics skills, including scheduling, invoicing, and event coordination.
  • Experience with data collection and evaluation tools, including surveys and basic dashboard reporting.
  • Comfort with virtual platforms (e.g., Zoom, Google), CRM/database systems (e.g., NEON or similar) and project management software (e.g., Asana or similar).
  • Clear written and verbal communication skills, including client support and marketing content creation.
  • Collaborative mindset with experience working across teams, partners, or external facilitators.

Responsibilities

  • Organize logistics for all IDHS training sessions, including preparing and distributing materials, communicating with attendees, data collection efforts, confirming guest facilitators and in-person set-up, if needed; and support the recruitment and coordination of guest speakers, facilitators, and other content experts.
  • Organize logistics for in-person program meetings; assist with participant communications before and after; prepare materials and take notes; arrange location and refreshments and support any follow-up, as needed.
  • Record and collect data from training evaluation tools, monitor performance goals and outcomes, build metrics dashboards, maintain accurate and timeline records, generate program reports and support grant reporting.
  • Provide administrative support to the Capacity Building IDHS training program, including preparing, processing, and maintaining external facilitator and consultant contracts; initiate and track training-related invoices and payments; maintain accurate and timely records for attendees, trainings, meetings and program documentation; and assist with general team administrative tasks.
  • Provide technical support for virtual and in-person trainings; respond to information requests from registrants, providers, administrators, funders and other stakeholders.
  • Handle registrant inquiries, troubleshoot CRM issues, coordinate with reps, and maintain help documentation for future use.
  • Share out CJC materials and training information to the IDHS Provider Managers and SNAP and other Employment & Training workforce development service providers to encourage participation in trainings. Identify updates needed for the webpage and communicate those updates and changes to MarComms.
