About The Position

The CHEO Research Institute is seeking a Human Resources Support Administrator to join their Human Resources Department for the Office of Research Services (ORS). This new position will focus on providing support to various departments within Human Resources, including Health, Safety & Wellness, Learning & Development, Volunteer Services, Appointment Program, and general Human Resources functions. The role is permanent, full-time (1.0 FTE), and based at the CHEO Research Institute in Ottawa.

Requirements

  • Post-secondary education (diploma or certificate) in Occupational Health & Safety, Human Resources or Business Administration, or another related field.
  • Two (2) or more years of experience providing administrative support in a fast-paced environment, supporting a customer focused and service driven environment, particularly within a human resources department or a department with a focus on health and safety.
  • Demonstration of a high level of professionalism and accountability.
  • Proficient computer skills (Microsoft Office 365 and SharePoint).
  • Strong organizational skills including time management, prioritization, scheduling and file management.
  • High degree of accuracy, with strong attention to detail and proofreading skills.
  • Demonstrated ability to handle sensitive information with a high degree of confidentiality, discretion, and commitment to data protection and privacy.
  • Excellent verbal and written communication skills, with strong interpersonal abilities and a customer service mindset.
  • Eligible to work in Canada.
  • Compliance with CHEO RI’s occupational health, immunization, and health‑surveillance requirements, as applicable to the role and work environment.
  • Completion of a Police Record Check, in accordance with institutional and regulatory requirements.

Nice To Haves

  • Coursework or training in Ontario Occupational Health & Safety legislation, workplace inspections, incident reporting, and Joint Health & Safety Committee (JHSC) fundamentals.
  • Familiarity with quality and compliance principles (ALCOA‑C).
  • JHSC Certification or related Health & Safety training.
  • CHRP or CHRL designation.
  • Experience with REDCap, SurveyMonkey, Workday, Excel, Safety Reporting Systems.
  • Proficiency in both official languages (English and French).

Responsibilities

  • Provides operational and administrative support to the Health, Safety & Wellness (HSW) program, including mandated health surveillance tracking, conducting workplace inspections, supporting Joint Health and Safety Committee (JHSC) activities, wellness initiatives, and HSW program quality management systems improvement coordination.
  • Coordinate and participate in regular workplace inspections, including documentation, REDCap data entry, reporting and follow‑up to resolution.
  • Maintain and update the REDCap workplace inspection database to ensure accurate, complete, and timely records and reporting.
  • Prepare and distribute workplace inspection reports to site leaders, managers, and the Health, Safety & Wellness Manager.
  • Track corrective and preventive actions (CAPAs) and follow up with managers to ensure timely completion.
  • Serve as a worker representative on the CHEO RI Joint Health & Safety Committee, includes attending meetings, conducting workplace inspections, and participating in committee activities.
  • Liaise with our workforce and facilities teams to support hazard identification, resolution, and regulatory compliance.
  • Maintain documentation, records, and files in accordance with regulatory and organizational requirements (ALCOA‑C principles).
  • Support the Safety Reporting System (SRS), including data entry, documentation, and follow‑up as required.
  • Contribute to Health & Safety communications and internal postings on CHEONet, ensuring information is current and accurate.
  • Provide general administrative and operational support to the HSW Manager and the broader Health, Safety & Wellness program.
  • Provides administrative and operational support for Learning & Development initiatives to ensure compliance, continuity, and effective delivery.
  • Lead mandatory training surveillance for volunteers, ensuring compliance with organizational requirements.
  • Provide administrative support for the annual CHEO RI Summer Student Research Day.
  • Support the coordination and moderation of education sessions and learning events.
  • Serve as backup support for orientation activities to ensure continuity of onboarding processes.
  • Provide administrative support for mandatory training coordination and delivery for staff, as required.
  • Perform other duties as assigned within the Learning & Development portfolio.
  • Supports the effective administration and oversight of the Volunteer and Appointment Programs.
  • Provide day‑to‑day administrative support to the Volunteer & Appointment Program Administrator.
  • Provide administrative support for documentation management within the Volunteer and Appointment Programs, ensuring files are complete, current, and appropriately organized.
  • Provides general administrative and operational support for Human Resources functions.
  • Maintain organizational distribution lists.
  • Provide bi‑weekly timekeeping support and processing.
  • Prepare employment‑related letters, including salary confirmation and employment verification.
  • Process HR transactions and activities in Workday.
  • Conduct regular audits of HR processes in accordance with established standard operating procedures.
  • Perform other related duties as assigned within the scope of this role.
