About The Position

To perform varied duties as requested by the Chief Human Resources Officer and the Supervisor of Human Resources. This role involves handling a wide range of human resources functions including processing new employees and volunteers, managing unemployment claims and FMLA requests, troubleshooting HR software, ordering supplies, scheduling recruiting events, processing payments, and managing the fingerprinting and central registry processes. The specialist will also be responsible for managing the substitute teacher process, including processing applications, maintaining lists, and preparing for training workshops.

Requirements

  • High school diploma or GED certificate.
  • General knowledge of standard office procedures and practices.
  • Secretarial, computer skills, and knowledge of a variety of office equipment.
  • Ability to establish and follow detailed work procedures.
  • Must have the personal characteristics necessary for working effectively with the public and school personnel.
  • Flexibility and multi-task oriented.
  • Ability to maintain confidential information.
  • Experience in secretarial work.
  • Good typing and computer skills with working knowledge of Microsoft Office.
  • Ability to maintain clerical records and to prepare reports from such records.
  • Good oral and written communication skills.
  • Good organizational and public relations skills.
  • Ability to work effectively under pressure.

Responsibilities

  • Handle/screen all incoming personnel calls.
  • Process all new employees and volunteers.
  • Maintain current volunteer list.
  • Respond to requests to submit forms of unemployment to the Virginia Employment Commission.
  • Respond to FMLA requests and track related paperwork through eFMLA.
  • Submit invoices to the Finance Department for payment.
  • Troubleshoot Frontline problems and act as a liaison between FCPS and Frontline Education.
  • Mail out all substitute information packets and update active substitutes in Frontline.
  • Assist in personnel filing.
  • Order supplies as needed for the personnel office.
  • Post vacancies in Frontline and delete postings once position is filled.
  • Schedule recruiting trips and organize packets and materials for recruiters.
  • Update directory as required and other listings.
  • Process ID badges for employees.
  • Process all new contracts and appointment slips, collect signed documents.
  • Schedule, prepare materials, and set up for substitute training workshops.
  • Set up and schedule all FCPS Job Fairs.
  • Process Bank of America payments and maintain HR budget.
  • Create substitute and volunteer agenda for monthly school board meetings.
  • Perform any other duties as assigned by the Supervisor of Human Resources or the Chief Human Resources Officer.
  • Responsible for all aspects of the fingerprinting process, including scheduling appointments, logging fingerprints, and reporting conviction data.
  • Responsible for all aspects of the central registry process, including checking forms for accuracy, logging forms, and reporting founded charges of abuse or neglect.
  • Responsible for all aspects of the substitute process, including processing applications, maintaining substitute lists, preparing folders, notifying substitutes of workshops, and updating substitute information in AESOP.
