About The Position

Senior Friendship Centers is seeking a dynamic Human Resources Specialist. The Human Resources Specialist provides administrative and operational support across recruitment, onboarding, HRIS updates, employee records, employee engagement, and other HR processes. Responsibilities include coordinating pre-employment activities, onboarding, internal correspondence, audits, records, and employee appreciation and recognition activities while maintaining accurate and confidential information. This role also provides backup phone and general office support during Business Office Manager absences. We are looking for a professional, organized, service-minded person who handles confidential information with care. This is a part-time, 20-hour-per-week position. We serve older adults throughout Southwest Florida through programs and services that strengthen quality of life and community connection.

Requirements

  • Candidates should have at least one year of human resources experience or two years of related administrative or office management experience.
  • Strong Microsoft Office skills.
  • Ability to quickly learn HRIS and talent management systems.

  • Minimum of one year of human resources experience or two years of job related administrative or office management experience, preferably with a nonprofit organization.
  • Proficiency in or the ability to quickly learn the organization's HRIS and talent management systems.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams, and PowerPoint).
  • Prolonged periods sitting at a desk and working on a computer and standing.
  • Must be able to lift 20 pounds.
  • Must be able to navigate various departments of a physical location.
  • Travel within the several counties in which Senior Friendship Centers Inc. operates may be required as frequently as needed to support operations, fundraising and outreach.
  • Must have reliable transportation.
  • A valid driver’s license and proof of insurance is required for all work related travel.
  • Satisfactory clearance of a fingerprint based, level II background screening and pre-employment substance abuse testing is required.
  • Must be authorized to work in the United States.
  • All applicants must pass a Level 2 Background Screening.

Responsibilities

  • Assist with making updates to the organization’s HRIS system.
  • Prepare and administer orientation and onboarding tasks for new hires.
  • Assist with equipment procurement and set up for new employees.
  • Assist with Employee Recognition and monthly related events.
  • Assist with interview coordination, conducting background checks, drug and TB screens, and reference checks for potential employees.
  • Coordinate meetings/conference calls as requested.
  • Assist with annual open enrollment, as requested.
  • Assist with all HR Communications, such as organizational charts, and staff updates.
  • Work closely with Human Resources to promote staff recognition and engagement.
  • Handle routine correspondence for the Human Resources Department including employment verifications, initial unemployment responses, and reference checks.
  • Prepare monthly credit card expenses report for the HR department.
  • Participate in department and organizational audits to gather documents needed and ensure documents meet audit requirements.
  • Maintain Human Resources department records and filing.
  • Assist Business Office Manager with answering phones during times of absence.
  • Assist with special projects as needed.
  • Attend staff meetings, trainings, and seminars as required.
  • Must comply with all Senior Friendship Centers personnel policies.
  • Must protect the safety and health of staff, volunteers, participants, and others by observing and following the organization's safety and incident policies.
