About The Position

Under the direction of the Human Resources Manager, this position will be responsible for daily and weekly scheduling responsibilities, which include, posting and filling of shifts, handling sick calls, processing time off requests as approved by all Managers and ensuring that all shifts have complete or adequate coverage.

Requirements

  • Diploma or equivalent work experience in Human Resources, Business Administration, Office Administration or a related field.
  • Minimum of 2 years of experience in workforce scheduling, staff coordination, or a related administrative role.
  • Experience in a unionized environment is strongly preferred.
  • Demonstrated knowledge of collective agreements, seniority rules, scheduling practices and the Ontario Employment Standards Act.
  • Experience using workforce scheduling or HRIS software (UKG preferred).
  • Strong proficiency in Microsoft Office.
  • Experience handling confidential employee information with discretion and professionalism.

Responsibilities

  • Prepare and publish employee schedules
  • Build schedules according to collective agreement requirements
  • Maintain appropriate staffing levels
  • Ensure coverage across programs and locations
  • Monitor staffing vacancies
  • Identify open shifts; coordinate replacement staffing and fill vacant shifts
  • Manage call-ins and last-minute staffing adjustments
  • Process employee availability forms and maintain availability records
  • Update scheduling system information
  • Apply availability accurately when scheduling
  • Process vacation, floater and leave requests
  • Maintain scheduling software data
  • Ensure schedule accuracy in the system
  • Audit scheduling information
  • Communicate schedule changes
  • Respond to scheduling inquiries
  • Coordinate with managers regarding staffing needs
  • Escalate staffing concerns when coverage risks exist
  • Ensure schedules comply with: Collective agreement requirements, Employment standards, Internal scheduling policies, Staffing ratio requirement
  • Attend and participate in staff meetings
  • Always conduct themselves in a positive and professional manner
  • Maintain confidentiality between programs
  • Always communicate positively regarding staff and those we support
  • Respect for the confidentiality of co-workers, agency and those we support
  • Work within agency policy to resolve issues and concerns within the department to reach a constructive and positive outcome
  • Provide support as required to the broader HR team

  • Rate of pay: $26.86 - $28.32 per hour in accordance with our Collective Agreement.
