About The Position

The Human Resources Project Coordinator is a multi-faceted role that supports Human Resources (HR) core processes and projects, generates data-driven insights, and provides high-quality administrative support to the Chief Human Resources Officer (CHRO). The Human Resources Project Coordinator plays a crucial role in coordinating and managing Human Resources programs and initiatives from planning through execution.

Requirements

  • High School diploma or equivalent required.
  • Minimum 1-2 years’ experience in Human Resources administration or project management.
  • Knowledge of HR practices, employment laws, and compliance requirements.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and details simultaneously.
  • Excellent written and verbal communications skills are required to maintain effective relationships with internal clients, peers, vendors and others.
  • Extremely detail-oriented with a focus on delivering high-quality results.
  • Self-motivated with the ability to manage multiple projects simultaneously and respond to change in a positive manner.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort learning new HR tools/systems
  • Ability leverage approved AI assistants for report generation, content drafting, and basic Visual/Virtual Intelligence programming, including prompt design, structured input development and iterative refinement.
  • Ability to travel based on business need.

Nice To Haves

  • Bachelor's degree in Human Resources, Business Administration, or other related field preferred.
  • Proficiency in HRIS and project management tools highly preferred.
  • SHRM or HRCI certification preferred.
  • Experience with Excel/Google Sheets (lookups, pivots, charts); familiarity with BI dashboards (Power BI/Tableau/Looker) preferred.
  • Basic SQL or data visualization coursework; experience with SharePoint/Drive and slide design helpful.

Responsibilities

  • Partners closely with the CHRO and HR leadership to ensure key projects, recurring HR programs, and cross-functional initiatives are organized, progressing on schedule, and executed with consistency and attention to detail.
  • Collaborates with key stakeholders to define project scope, objectives, and deliverables.
  • Develops project plans, timelines, and budgets, and ensures successful project completion within established parameters.
  • Monitors and reports on project progress, identifying and mitigating risks as needed.
  • Owns employee swag and gifting including budgeting, ordering, maintaining inventory, and shipping to new hires and others as applicable.
  • Manages office administration including ordering supplies, mailing packages or documents, and handling any facilities requests as needed for the human resources department.
  • Contributes to employee engagement and other corporate initiatives by organizing events, activities, and programs that foster a positive and inclusive work environment.
  • Provides general support to the Human Resources team including managing the CHRO’s calendar and expense submissions.
  • Drafts agendas, compiles slides from templates, captures meeting notes and drives action items to closure.
  • Drafts, proofs and sends routine HR communications; maintains distribution lists and content templates.
  • Monitors shared HR inbox/ticketing queue; answering frequently asked/routine questions and routes issues to the right HR specialist within established service level agreements (SLAs).
  • Leverages technology and proprietary AI tools to produce accurate reports, dashboards, and content to generate data-driven insights in a presentation ready format for executive use.
  • Stays current on employment laws and regulations to ensure HR projects and corporate initiatives align with legal requirements.
  • Collaborates with legal and compliance teams to address any regulatory concerns or changes.
  • Acts as a backstop to the HR Generalists and assists with onboarding new employees, as well as preparing exit paperwork for terminating employees.
  • May enter expenses on behalf of terminated employees as needed.
  • May assist with the acquisition diligence process including taking notes and drafting offer letters.
  • Performs other projects, duties, and tasks, as assigned.
