About The Position

McLain Site Solutions is seeking a highly organized and detail-oriented Human Resources & Payroll Specialist to support our growing team. This position is responsible for managing payroll, recruiting, onboarding, employee records, benefits administration, compliance, and day-to-day human resources functions. The ideal candidate has experience in payroll processing, HR administration, and construction industry practices while maintaining a high level of professionalism and confidentiality.

Requirements

  • Associate's or Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field (or equivalent experience).
  • Minimum 3–5 years of Human Resources and Payroll experience.
  • Experience processing payroll for multiple employees.
  • Strong knowledge of federal and Florida employment laws and payroll regulations.
  • Experience with recruiting, onboarding, benefits administration, employee relations, and personnel file management.
  • Proficiency in ADP, QuickBooks, Contractor Foreman, and Microsoft Office (Excel, Word, Outlook).
  • Strong attention to detail and high level of accuracy.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage confidential information with professionalism and discretion.
  • Ability to prioritize multiple tasks and meet deadlines.

Nice To Haves

  • Experience in heavy civil construction or the construction industry.
  • Knowledge of certified payroll, prevailing wage reporting, and workers' compensation.
  • SHRM-CP, SHRM-SCP, PHR, or payroll certification (FPC or CPP).
  • Experience with OSHA compliance and employee safety documentation.
  • Bilingual (English/Spanish).

Responsibilities

  • Manage the full-cycle recruitment process for field and office positions.
  • Create and post job advertisements on recruiting platforms.
  • Screen resumes, schedule interviews, and coordinate the hiring process.
  • Conduct new hire orientation and onboarding.
  • Coordinate pre-employment requirements, including background checks, drug screenings, employment verification, and new hire paperwork.
  • Maintain employee personnel files and HR records.
  • Administer employee benefits, enrollments, and qualifying life event changes.
  • Coordinate PTO, FMLA, military leave, jury duty, and other leave requests.
  • Assist managers with employee relations, coaching, disciplinary actions, and performance management.
  • Maintain confidentiality of employee information.
  • Ensure compliance with federal, state, and local employment laws.
  • Process weekly payroll accurately and on time.
  • Review employee timecards and ensure payroll accuracy.
  • Process new hires, terminations, promotions, wage changes, garnishments, and direct deposit updates.
  • Maintain payroll records and employee earnings history.
  • Coordinate payroll deductions for benefits and other authorized deductions.
  • Reconcile payroll reports and assist with month-end reporting.
  • Ensure payroll complies with all federal, state, and local regulations.
  • Respond to employee payroll questions and resolve discrepancies.
  • Maintain employee files, I-9 documentation, and employment records.
  • Assist with workers' compensation claims and return-to-work documentation.
  • Coordinate OSHA training records and employee certifications.
  • Maintain the employee handbook and HR policies.
  • Support audits by providing payroll and HR documentation.
  • Prepare HR and payroll reports for management.
  • Assist with company meetings, employee recognition programs, and special projects.
  • Perform additional duties as assigned.
