About The Position

The Human Resources (HR) Leave Coordinator position at United Health Center (UHC) provides critical support to the UHC team by administering leave requests, managing workers' compensation claims, and processing ergonomic assessments. This role requires specialized knowledge of State and Federal laws such as FMLA, CFRA, ADA, and PDL. The position operates within a high-performance, employee-oriented culture, emphasizing exceptional customer service and adherence to quality standards and productivity attainment. The HR Leave Coordinator is responsible for maintaining employee confidence through confidentiality of personnel data and compliance with employment laws.

Requirements

  • High school diploma (GED) or equivalent knowledge, skill, and mental development.
  • Some college-level coursework.
  • Minimum of two years of leave administration experience.
  • Proficient at modern office practices and procedures.
  • Detail-oriented.
  • Highly organized.
  • Demonstrated good problem-solving skills; sound judgment.
  • Able to quickly build and maintain rapport with patients and providers of differing backgrounds; team player.
  • Strong computer skills (especially Outlook, MS Word, and MS Excel).
  • Attention to detail and excellent follow-through on work tasks.
  • Able to handle multiple tasks simultaneously.
  • Must be able to lift up to 20 pounds and push up to 50 pounds (on wheels).
  • Must be able to hear staff on the phone and those served in-person, and speak clearly.
  • Must be able to read memos, computer screens, personnel forms, and clinical/administrative documents.
  • Must have high manual dexterity.
  • Must be able to reach above shoulder level, bend, squat, sit, stand, stoop, crouch, reach, kneel, twist/turn.

Responsibilities

  • Administer leave requests requiring specialized knowledge of State and Federal laws (FMLA, CFRA, ADA, PDL).
  • Manage workers' compensation claims from initial report through closure.
  • Process ergonomic assessments promptly and accurately.
  • Maintain employee confidence and protect the organization by ensuring personnel data and employment-related documents are secured and confidential.
  • Comply with federal, state, and local employment laws and requirements.
  • Prepare reports as designated by the Human Resources Manager.
  • Perform clerical duties associated with HRIS and leave management software, including data entry, document processing, scanning, filing, and recording.
  • Communicate with employees regarding leave, work modifications, and accommodations, instructing them on communication and documentation responsibilities.
  • Process leave administration from initial notification, gathering and documenting required medical certifications, and determining eligibility.
  • Communicate leave eligibility status to employees and leadership.
  • Notify anticipated leave-related absences throughout the organization on a need-to-know basis.
  • Ensure timely communication on updates, extensions, and return-to-work notifications with fitness for duty documentation.
  • Monitor and document protected leave utilization for continuous and intermittent leave.
  • Identify leave exhaustion or patterns of use and inform HR management of utilization outside eligibility parameters.
  • Facilitate and manage personal leave of absence requests in accordance with UHC policy.
  • Prepare on-demand reports, maintain dashboards, and create electronic/hard copies for accurate file maintenance.
  • Track and maintain up-to-date work status reports, including medical restrictions and return-to-work timelines.
  • Act as a liaison between injured employees, supervisors, medical providers, and insurance carriers.
  • Abide by UHC Rules of Confidentiality and HIPAA regulations.
  • Attend and participate in all required meetings and activities.
  • Train supervisors and staff on workers' compensation procedures, injury reporting, and return-to-work processes.
  • Complete annual required hours of continuing education and attend workshops/seminars to increase skills and knowledge.
  • Support the overall needs of the department and organization by working flexible or extended hours when necessary.
  • Contribute to the team by promoting positive staff interaction and maintaining open communication with other programs/departments.
