About The Position

The Human Resource Generalist is responsible for the daily functions of the Human Resources department specific to recruitment and payroll responsibilities. This role involves maintaining high standards of confidentiality for employee records and information, assisting with recruitment processes, managing payroll, processing expenses, supporting benefits administration, tracking training, managing performance reviews, handling credentialing, employee relations, and utilizing HRIS systems for various HR functions. The position also involves performing personnel audits and preparing reports.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or related field required.
  • One to three years of human resources management experience preferred.
  • Current human resources and/or compensation credentials or certification, such as PHR, SPHR, SHRM-CP, or SHRM-SCP.

Responsibilities

  • Maintains high standards of confidentiality of all employee records and information.
  • Assists in maintaining the applicant tracking system, ensuring jobs are posted and closed timely, and email announcements are sent to employees and candidates.
  • Assists hiring managers with identifying and screening potential employees.
  • Handles employment-related inquiries from applicants, employees, and supervisors.
  • Ensures all pre-employment requirements are met, including OIG/GSA/Sam searches, references, credentials, experience verification, education verification, E-Verify, background checks, and drug screenings.
  • Arranges meeting locations, travel, and/or accommodations for applicants.
  • Coordinates and conducts employee orientation.
  • Organizes training and development initiatives.
  • Seeks and registers for job fairs, attending when appropriate.
  • Responsible for reconciling timecards, ensuring accuracy, identifying discrepancies, and approving hours worked before payroll processing.
  • Checks for errors such as missed punches, incorrect job codes, and improper lunch punches.
  • Implements, maintains, and reviews payroll processing systems for timely and accurate processing of payroll transactions, including timecards, salaries, benefits, expenses, garnishments, taxes, and other deductions, in compliance with government regulations.
  • Assists with proofing payroll prior to submitting to the Director of Human Resources and CFO.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Ensures accurate and timely processing of new hires.
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Facilitates audits by providing records and documentation to auditors.
  • Identifies and recommends updates to payroll processing software workflows and procedures.
  • Reviews and verifies supporting documentation for all expenses prior to submitting to management for final approval.
  • Processes new hire information and employee changes for benefits (as back up).
  • Utilizes the HRIS system to maintain complete and up-to-date records.
  • Assists with Open Enrollment in HRIS and Open Enrollment employee events.
  • Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments.
  • Manages Performance Management in HRIS, including job description maintenance and creating performance reviews with managers.
  • Responsible for managing job performance reviews.
  • Monitors the Performance Management program for efficiency and recommends improvements.
  • Works closely with the credentialing human resources generalist to ensure references are received timely.
  • Maintains personnel files in compliance with applicable legal requirements.
  • Provides excellent customer service, being friendly and courteous to all employees and patients.
  • Provides support to employees in various HR-related topics and resolves issues, elevating matters to the Human Resources Lead when appropriate.
  • Provides guidance to employees and managers on human resources policies and procedures.
  • Assists in the development and implementation of human resource policies and Standard Operating Procedures (SOP).
  • Maintains and updates human resources documents, such as employee handbook, job descriptions, competencies, and performance evaluations.
  • Proficient with HRIS systems, quickly learning the organization’s HRIS and talent management systems and keeping up-to-date on system updates.
  • Attends monthly update meetings for HRIS.
  • Serves as a subject-matter expert regarding all HRIS functions, responsible for maintenance of the system, specifically Talent Management and Performance Management.
  • Optimizes HRIS system and workflows.
  • Supports HRIS Super Users.
  • Performs personnel audits.
  • Assists with performance metric reports.
  • Prepares basic correspondence relating to personnel matters.
  • Performs other duties as assigned.
