Requirements

  • High school diploma or GED
  • Proficiency in Microsoft Office Suite programs, email systems, and general office software
  • Comfortable learning and working within Human Resources Information Systems, digital recordkeeping systems, and other technology platforms used by the department
  • Demonstrate a high level of accuracy and attention to detail when entering, reviewing, maintaining, and retrieving employee information
  • Able to organize and prioritize a varied workload, complete assignments within established timelines, maintain confidentiality, and handle sensitive employee information with discretion

Responsibilities

  • Enter, update, review, and maintain employee information in Human Resources Information Systems and other electronic records systems.
  • Verify employee information against source documentation before completing data entry or record updates to support the accuracy and integrity of HR records.
  • Review information for completeness, accuracy, and consistency and identify discrepancies requiring correction or review by the Coordinator of Human Resources or other appropriate HR staff.
  • Assist the Coordinator of Human Resources with entering and maintaining information related to personnel actions, including hires, resignations, retirements, and terminations.
  • Maintain accurate and current electronic and paper employee records and personnel files in accordance with established procedures.
  • Scan, upload, organize, file, retrieve, and maintain employee documents and other Human Resources records.
  • Assist with routine data entry and updates within applicant tracking, employee records, and other HR information systems.
  • Compare information across assigned records, documents, and systems to identify missing, incomplete, or inconsistent information and refer discrepancies to appropriate HR staff for resolution.
  • Prepare, organize, update, and maintain spreadsheets, reports, lists, databases, and other records used in the daily operation of the Human Resources department.
  • Perform routine quality checks of assigned records and data to help ensure employee information is complete and accurately maintained.
  • Respond to routine employee and applicant inquiries and direct questions requiring additional assistance, interpretation, or decision-making to the appropriate HR staff member.
  • Provide employees and applicants with established information, forms, instructions, and resources related to routine Human Resources processes.
  • Correspond professionally with applicants, employees, other departments, and outside entities by email, telephone, and other established communication methods.
  • Assist with drafting, proofreading, editing, formatting, copying, and distributing reports, memos, letters, forms, and other Human Resources correspondence.
  • Assist with creating and updating employee-facing documents and routine Human Resources communications.
  • Follow established procedures for handling employee information and maintain confidentiality of personnel records and other sensitive information.
  • Learn and follow standard operating procedures for assigned administrative, records, and data-related Human Resources processes.
  • Maintain organized records of assigned work and outstanding items requiring follow-up.
  • Learn the duties of the front desk receptionist for the School Board Office and serve in that capacity in the receptionist’s absence, including greeting visitors, answering and directing telephone calls, managing the front office in a professional and welcoming manner, and processing interoffice mail.
  • Provide support to other staff members during periods of heavy workload.
  • Perform related administrative, records, data, and clerical duties as assigned.
