About The Position

The HR Assistant will support Rugby Canada's Human Resources and People Operations functions throughout the summer. This role offers hands-on experience in HR administration, recruitment coordination, staff onboarding, digital file management, and people-focused project work. This is an ideal opportunity for a youth (aged 18–30) interested in Human Resources, office administration, business, or people-focused careers. The successful candidate will gain exposure to real-world HR processes, develop professional skills, and contribute directly to improving employee experience at a national sport organization.

Requirements

  • Between 18 and 30 years old (inclusive) at the start of employment
  • A Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act
  • Legally entitled to work in Canada in accordance with applicable provincial or territorial legislation and have a valid Social Insurance Number
  • International students are not eligible for Canada Summer Jobs-funded positions.

Nice To Haves

  • Strong attention to detail and organizational skills
  • Comfort with Microsoft Office and/or Google Workspace

Responsibilities

  • Assist in updating and organizing employee digital files and HRIS (Bamboo) records
  • Support the recruitment process: posting job ads, scheduling interviews, tracking applications, and preparing candidate communications
  • Help prepare onboarding materials and assist in coordinating welcome activities for new staff
  • Contribute to staff engagement initiatives, including recognition, wellness, and internal communications
  • Support HR updates, templates, tools, and document formatting
  • Respond to general staff inquiries with guidance from the Senior Director, People & Culture
  • Participate in data-cleanup and process improvement projects that improve HR workflows
  • Support cross-departmental projects focused on improving internal processes, staff experience, and organizational efficiency
  • Assist with project timelines, meeting notes, follow-up tasks, and documentation
  • Help build or update internal resources such as training documents, checklists, manuals, and orientation content
  • Assist with compiling survey results, engagement data, and simple analytics to support organizational decision-making
  • Assist with document preparation, scheduling, tracking spreadsheets, and filing
  • Help maintain high-quality, organized digital systems and files
  • Provide administrative support to the People & Culture team and NSO Services as required
